Administrative Assistant II – Full Time

POSITION INTRODUCTION:
Administrative Assistant II is under the direction of the Director of Administration, Administrative Assistant II assists the administrative division in all clerical needs, including but not limited to, filing, scanning, inventory management, and general office duties. Process deposits for the agency within the timely deposit guidelines. The Administrative II performs a variety of tasks including preparing correspondence, maintaining records, supporting departmental projects, and serving as primary contact for internal and external stakeholders. Assists Fiscal Officer with duties, as assigned. Tracking and billing for the vitals department and other duties in the department including the issuance of birth and death certificates as well as burial permits in a manner consistent with Ohio law. Additionally, is responsible for ensuring the security of storage of all vital records as well as the security paper upon which they are printed when issued. Administrative Assistant II expected to exercise sound professional and strategic judgement in meeting the needs of divisions and the public. Is responsible for assuring agency processes, procedures, and tasks that occur appropriately. Is responsible for maintaining open and appropriate communication between and among agency and the public. This position is considered as a Tier 1 (Front Line Staff/Entry Level) under Core Competencies for Public Health Professionals.
MINIMUM QUALIFICATIONS and CHARACTERISTICS:
· Associate degree in business/finance preferred or equivalent working experience, supplemented by coursework in office practices and procedures and computer operation, or an equivalent combination of training, education, and/or experience.
· Must have knowledge and experience working in a Microsoft application and spread sheets.
· Knowledge of basic computer skills, basic mathematical ability, and clerical skills.
· Experience maintaining information systems (computers and servers) for billing and accounting.
· Data processing experience.
· Customer service skills.
· Demonstrates regular and predictable attendance.
LICENSURE OR CERTIFICATION REQUIREMENTS:
· Must have a valid State of Ohio driver’s license and remain insurable in accordance with the agency’s insurance policy.
· Ability to pass a B.C.I. Background Check.
· Ability to pass a drug screening including medical marijuana.
· Notary Public preferred but not required.

Salary Range:
$18.00 - $20.25 hr.- Range depends upon experience
