What are the responsibilities and job description for the Litigation Support Specialist position at ROSENBLUM ALLEN LAW FIRM?
Rosenblum Allen is expanding its office in Henderson, and we're looking for a reliable, detail-oriented, and personable Litigation Support Specialist.
This position serves as the first point of contact for our clients and visitors, supports our attorneys with day-to-day administrative work, and works alongside our intake team.
This is a full-time, in-office position with a 2:00 PM finish every Friday. Because this role provides front desk coverage, it is not eligible for remote or hybrid work.
Please note: Our Henderson office expansion will be complete in early Fall 2026. The first 2–3 weeks of this role will be spent training with our team at our main Las Vegas office (89119), after which you will be based full-time in Henderson. Candidates should be able to commute to both locations during the training period.
What You'll Do
Reception & Front Office
- Greet clients and visitors and manage the reception area, setting a professional and welcoming tone for every interaction.
- Answer and route incoming calls on a multi-line phone system; take accurate messages and escalate urgent matters appropriately.
- Schedule consultations and appointments; help maintain attorney calendars.
- Receive and distribute mail, packages, and service of process.
- Keep the office running: supplies, conference room setup for client meetings, and coordination with building management and vendors.
Intake Support (full training provided)
- Speak with prospective clients calling or writing in for the first time, and gather accurate preliminary information.
- Enter and maintain intake records in the firm's system.
- Follow up on pending inquiries so that no one who reaches out to us goes unanswered.
- Run preliminary conflict checks and flag anything unusual to an attorney.
- Work alongside our intake team to manage volume and support consultation scheduling.
Legal Support (full training provided)
- Learn to file legal documents electronically with Nevada courts, following court rules and deadlines closely.
- Maintain and update case information in the firm's case management software.
- Save and organize documents according to firm protocols so they're easy for the team to find.
- Prepare documents for discovery and disclosure, including Bates numbering.
- Prepare and send legal correspondence and filings by mail and electronically.
- Work closely with attorneys and staff to anticipate needs and troubleshoot document issues.
- Handle all client information with strict confidentiality.
What We Are Looking For
Required
- Fluency in English and Spanish, spoken and written. A substantial portion of our client base is Spanish-speaking, and this role speaks with clients directly from the very first phone call. You should be comfortable carrying a full conversation with a client in Spanish and writing routine correspondence in both languages. Language proficiency will be assessed during the interview.
- Dependable attendance. The front desk is the one seat in the office that can't be empty.
- Comfort and confidence on the phone, including with people who are stressed, upset, or dealing with a hard situation.
- Strong attention to detail — in this work, small errors on dates and names have real consequences.
- Ability to move between focused desk work and constant interruptions without losing your place.
- Clear written and verbal communication.
- Basic proficiency with Microsoft Word and Outlook, and comfort learning new software.
- Professional demeanor and discretion with confidential information.
- High school diploma or equivalent.
Nice to Have (but genuinely not required)
- Any prior reception, customer service, call center, or administrative experience.
- Exposure to a law office, medical office, or other setting with confidentiality requirements.
- Familiarity with case management software (MyCase, Clio, or similar) or court e-filing.
- Experience interpreting or translating in a legal, medical, or social services setting.
- Notary commission, or interest in obtaining one
Compensation
$20.00–$24.00 per hour, depending on experience.
Work Schedule
- Monday through Thursday, 8:00 AM – 5:00 PM
- Friday, 8:00 AM – 2:00 PM — we close early every Friday
- No nights
- No weekends
- Court holidays observed
