Position Summary

A growing Dallas based company that provides services nationwide to the automotive industry is seeking an Executive Administrative Assistant to the president of the company. The Executive Administrative Assistant is responsible for assisting the president of the company with monthly internal and external reporting, coordinating attendance at national conventions for team members, and serving as the primary contact between the company employees and the ADP Total Source platform. This position requires speed and accuracy in computer navigation and a focus on delivering superior service to employees as well as external independent sales representatives of the company, and other business partners of the company.

Essential Duties and Responsibilities

  • Assembling monthly reporting metrics from the various departments of the company for monthly meetings among leadership team members
  • Assist with the preparation of reports to external business partners of the company
  • Coordination of travel arrangements to national conventions for team members attending
  • Assist the President with measuring the leadership team members’ progress on quarterly annual goals established
  • Primary contact person with ADP Total Source. ADP Total Source is the PEO provider for the company. Familiarize existing and new employees with the ADP Total Source portal and how to navigate the portal and access information as well as locating answers to questions that FTEs may have. Gathering and entering new employee information in the ADP Total Source system. On boarding of new employees, and assisting new and existing employees with questions they may have on benefit plans.
  • Tracking PTO for all employees of the company in the ADP Total Source portal, and coordinating approvals of PTO in accordance with company policy for PTO
  • Collaborate with various department managers and directors to maintain workflow efficiency and meet company performance goals.

Required Knowledge, Skills, and Abilities

  • High proficiency in computer navigation, and multitasking across multiple systems.
  • Skilled in verbal and written communication, with the ability to negotiate and explain determinations clearly.
  • Attention to detail and accuracy.
  • Strong organizational skills with the ability to prioritize and manage workload.
  • Customer-oriented with a demonstrated ability to maintain professionalism in challenging situations.
  • Candidates need to have good working knowledge of Microsoft Word and Excel and PowerPoint, but they do not need to be an expert.

Education and Experience

  • High school diploma or GED required; Associate’s or Bachelor’s degree preferred.
  • Experience in administrative duties and responsibility
  • Prior experience with CRM (Monday.com or similar) strongly preferred.

Working Conditions

  • Hybrid office environment with heavy computer and phone use.
  • Must be able to handle a high-volume workload with frequent deadlines.
  • Occasional overtime may be required based on business needs.

Physical Requirements

  • Prolonged periods sitting at a desk and working on a computer.
