Job Summary
To provide exceptional administrative support to an established CEO and COO and support a growing C-Suite Executive team. Fully supporting the needs of a growing Construction firm.
Executive/Personal Assistant Responsibilities
- Supporting administrative needs and correspondences of CEO and COO
- Answer phone calls and emails and take detailed messages emphasizing actionable items
- Schedule meetings, manage calendars and assist with time coordination
- Draft correspondence such as emails and letters, then execute as directed by the CEO or appointee.
- Take accurate and comprehensive notes in meetings
- Arrange appointments for professional matters; meetings, travel, conferences, and trade shows for C-Suite Executives
- Assist in events as needed
- Handle Executive expense tracking and reporting
- Run professional errands as requested.
Household Coordination Responsibilities
- Oversee multiple household schedules and calendars
- Manage all travel reservations; including flights, accommodations, and ground transportation
- Assist with event planning, coordination and execution
- Organize appointments and reservations for personal/household requests; including travel/vacation, doctor’s appointments
- Scheduling home maintenance and supervising the project ensuring timely execution of service providers and/or Subcontractors.
- Shopping for or assisting with groceries, supplies, and other household items.
- Basic bookkeeping, managing household bills, and administrative duties including account reconciliations.
Skills and Abilities
- 4-7 years of relevant work experience
- Highly organized with strong attention to detail and time management skills
- Comfortable managing confidential information
- Proactive and solution oriented
- Able to shift between professional and personal requests with discretion
- Calm under pressure and adaptable
- Strong interpersonal skills; active listening and good communication
- Working knowledge of Microsoft Office; including Outlook, Word and Excel, a must
- Excellent people skills, including negotiating skills and diplomacy
- Proactive approach to problem-solving with the ability to proactively resolve typical residential matters
- Experience in a construction, manufacturing, or accounting environment.
Domestic travel opportunities are highly anticipated; all applicants must be available for a flexible schedule.
Pay will be commensurate with experience.; typically between $85,000 to $95,000
Must be able to successfully clear pre-employment screenings; including state driver's license record.
