Position Summary:
The Philanthropy & Alumni Relations Coordinator provides essential operational support to ensure the accuracy, consistency, and efficiency of Roseman University’s philanthropic activities. This position is heavily focused on maintaining donor and alumni data in Raiser’s Edge, processing and reconciling gifts, generating reports, and preparing timely acknowledgment letters. The role requires an individual who is exceptionally detail oriented, dependable, and committed to accurate data management and consistent follow-through.
While the primary responsibilities are operational, the Coordinator also provides limited support for donor and alumni events, including preparing guest lists, tracking RSVPs, assisting with simple logistics, and supporting basic stewardship activities as needed. The position reports to the Senior Director of Philanthropy & Alumni Relations.
Key Responsibilities:
- Manage donor database and gift processing: Enter and maintain accurate donor, alumni, and gift records in Raiser’s Edge; process and track all charitable gifts, pledges, and event revenue.
- Ensure financial accuracy: Assist with monthly gift reconciliation with Finance to maintain alignment across systems.
- Maintain data integrity: Uphold strict standards for data entry, coding, naming conventions, and documentation to support reporting and compliance.
- Generate reports and lists: Create queries, mailing lists, and exports to support fundraising, stewardship, and event activities.
- Support donor stewardship: Prepare timely acknowledgment letters, receipts, and maintain records of donor interactions and recognition lists.
- Assist with events and alumni engagement: Manage invitation lists, RSVPs, nametags, and on-site logistics; accurately enter event-related data and follow-up actions.
- Protect confidentiality: Ensure all donor and alumni data is handled with the highest level of security and accuracy.
Qualifications:
- High school diploma or equivalent
- Proficiency with Windows environment and standard Microsoft Office suite.
- Willingness to work occasional evenings or weekends for advancement-related activities.
- Valid Driver's License
