Role Description
We are seeking a highly organized and proactive Paralegal and Office Assistant to oversee daily office operations and support our team with personal injury litigation matters. The ideal candidate will possess strong administrative, communication, and organizational skills, with experience in office management, bookkeeping, litigation drafting, and client communications. This role offers an opportunity to contribute to a dynamic environment, be adaptable, help with litigation cases while ensuring smooth workflow and efficient office functioning across various departments including office management.
FULL TIME IN PERSON - 667 Union BLVD. Allentown, PA

40 hours per week. Pay to align with experience.
Key Performance Indicators (KPIs)Case Progress & Compliance
- 95% compliance with all litigation deadlines and court-ordered schedules
- Zero missed filing deadlines or sanctions attributable to paralegal error
- Timely advancement of cases in accordance with litigation timelines
- Ability to Draft complaints, discovery responses, manage scheduling of depositions, deposition summaries, intake, client management, correspondence.
- Knowledge in drafting settlement demand packages, medical liens negotiation and closing out cases after settlement ideal.
Discovery Management
- Discovery requests served within 5 business days of eligibility or attorney instruction
- Discovery responses prepared and finalized within court-mandated deadlines
- Deficiency letters issued within 7 days of receiving inadequate responses
- Discovery materials organized and accessible in the case management system 100% of the time
Medical & Damages Preparation
- Medical records and bills requested within 3 business days of litigation milestone
- Medical summaries and chronologies completed within 7–10 days of receipt
- Damages documentation updated at every major litigation stage
Client Communication
- Client inquiries returned within 24 business hours
- Proactive client updates provided at key litigation milestones
- High client satisfaction and minimal complaint escalation
Attorney & Team Support
- Attorney requests completed accurately and on time 95% of the time
- Trial and deposition materials prepared and finalized by internal deadlines
- Adaptability/flexibility to step in and help out with other departments including intake and records
- Positive attorney feedback regarding organization, reliability, and preparedness
- Ability to manage mail processing
- Manage Legal Assistants and Case Managers
File Quality & Organization
- 100% of litigation files properly organized, labeled, and up to date
- All pleadings, discovery, and correspondence correctly saved and indexed
- Minimal rework due to errors or omissions

Experience Preferred
- Bilingual English/Spanish
- Proven experience in personal injury litigation
- Legal assistant/paralegal/office assistant roles with strong clerical background
- Prior supervisory experience is preferred to oversee staff effectively
- Strong communication skills with excellent phone etiquette and organizational skills are essential
- Demonstrated ability to multitask efficiently in fast-paced environments with attention to detail
- Experience working with multi-line phone systems, filing systems, and front desk operations is preferred
