Role Description The Office Manager is a full-time, on-site role based in downtown Naperville, IL. This position will oversee daily office operations. It will include HR responsibilities and efforts to continually build and improve the team. The position will support both attorneys and paralegals with administrative assistance. The role involves improving office procedures through updating software, working with vendors and service providers, and partnering with leadership to ensure efficient, compliant, and well-organized operations. Responsibilities include handling phone and email inquiries, monitoring reception and waiting areas, and supporting basic billing, documentation, and filing needs. Law firm experience is preferred, but not necessarily required for the right candidate.
Qualifications
- Strong communication and interpersonal skills, including clear written and verbal communication.
- Administrative assistance and office administration skills, with experience managing schedules, records, and workflows.
- Ability to operate and maintain common office equipment and technology (printers, scanners, phone systems, productivity software).
- Customer service skills, with the ability to provide courteous, professional support to clients, visitors, and team members.
- Experience in office management or a related administrative role, preferably in a professional services environment.
- Organizational skills, attention to detail, and the ability to prioritize multiple tasks and deadlines.
- Proficiency with office productivity tools (e.g., Microsoft Office or similar software) and comfort learning new systems.
- College degree, paralegal certificate, and/or certifications in office administration are beneficil.
