Position: Spa & Retail Manager
Location: Root Whole Body Health, Inc. | Portland, OR
Reports To: Clinic Practice Manager

Position Overview:

Root Whole Body Health, Inc. seeks a passionate, dynamic, and customer-focused Spa & Retail Manager to oversee the day-to-day operations of our wellness spa. The Spa Manager is responsible for ensuring the highest levels of customer satisfaction, managing spa staff, overseeing treatments and services, and upholding Root Whole Body’s commitment to holistic health, well-being, and exceptional service. 

The Spa & Retail Manager at Root Whole Body plays a critical role in ensuring the seamless operation of spa services and retail offerings while fostering a high-performing team environment. This leadership position balances responsibilities across facilities and equipment maintenance, strategic retail management, staff development, and training. The Spa Manager contributes to the overall growth and success of the spa by upholding the company’s wellness philosophy and providing exceptional support to staff and clients.

Key Responsibilities:


Spa Operations & Facility Oversight

  • Lead daily operations of the spa to ensure smooth service flow and a calm, clean, welcoming environment that reflects the Root brand.
  • Ensure that all spa treatments and services meet Root’s high standards for quality, cleanliness, safety, and therapeutic integrity.
  • Monitor treatment room readiness, linen protocols, equipment functionality, and supply stock to uphold professional hygiene and operational efficiency.
  • Enforce strict compliance with industry health, safety, sanitation, and licensing standards, in accordance with Oregon State Board of Cosmetology and Massage Therapy regulations.
  • Oversee the inventory of spa products, including retail items, supplies, and equipment.
    • Maintain stock levels, track usage, and ensuring stock levels are maintained and replenished as needed by timely reordering.


    • Ensure that products are well-presented, and that inventory is properly managed to minimize waste and reduce costs.
    • Ensure adherence to all health, safety, and sanitation protocols in line with industry standards, licensing and local regulations.

    Retail & Inventory Management

    • Curate a rotating selection of wellness products that align with Root’s holistic values and meet guest needs.
    • Manage vendor relationships, pricing negotiations, order placement, and seasonal updates.
    • Ensure inventory accuracy, stock rotation, attractive merchandising, and waste reduction.
    • Collaborate with Marketing on promotions and education to drive engagement and sales.

    Drive Sales, Marketing & Promotions

    • Lead efforts to promote spa services, packages, and wellness offerings.

    • Work with marketing team to develop promotions, special offers, and strategies to attract and retain clients.

    o   Leverage social media and digital platforms to boost visibility and engagement.

    o   Assist with social media and digital content creation to promote spa services, events, and special offers
    Support the development of wellness programs and packages to attract new clients and retain existing ones.

    Team Leadership and Staff Management·     

      • Recruit, hire, train, and supervise a team of spa therapists, estheticians, and other spa staff members.

      o   Train and mentor spa staff to ensure excellent customer service, improve product knowledge, and enhance performance.

      o   Work closely with wellness practitioners and trainers to ensure a cohesive experience for clients across all wellness offerings.

      ·      Manage scheduling, staffing, and overall logistics of spa services and wellness programs to ensure optimal service levels.

      o   Oversee staff scheduling to ensure efficient use of time, maximize client bookings, and maintain an optimal balance of services offered.

      ·      Foster a positive, collaborative work environment and promote ongoing professional development.

      ·      Conduct regular performance reviews and provide feedback to staff to enhance skills and performance.

      Drive Customer Service & Client Relations 

      ·      Ensure the highest levels of guest satisfaction by addressing concerns, complaints, and requests in a timely and professional manner.

      ·      Develop and implement guest feedback systems to improve service delivery.

      ·      Promote spa services and wellness packages to both new and returning clients.

      ·      Build and maintain strong relationships with clients, ensuring a personalized experience for each guest.

      ·      Manage and resolve any customer service issues that may arise.

      Financial Management

      ·      Monitor and manage spa budgets, ensuring that costs are controlled and financial goals are met.

      ·      Track and report on spa performance, including revenue, expenses, and customer retention metrics.

      ·      Develop strategies to increase revenue through upselling, package deals, and loyalty programs.

      Compliance & Administrative Tasks:

      ·      Ensure that all spa staff are licensed, certified, and up-to-date with any required certifications and training.

      ·      Maintain accurate records, including client forms, financial documents, and employee schedules.

      ·      Manage payroll for spa staff and ensure adherence to labor laws.

       

      Qualifications:

      Education & Experience:

      Bachelor's degree in Hospitality Management, Business Administration, or a related field preferred.

      Minimum of 3-5 years experience in a spa management role or similar supervisory experience in a wellness or hospitality setting.

      Knowledge of holistic health and wellness services, including massage therapy, skincare, and fitness preferred.

      Skills & Abilities:

      Strong leadership, interpersonal, and communication skills.

      Exceptional customer service and problem-solving abilities.

      Proven ability to manage a team and resolve conflicts in a professional manner.

      Ability to manage budgets, financial records, and operational costs effectively.

      Proficiency in spa management software and other office applications.

      Strong attention to detail and ability to multitask in a fast-paced environment.

      Certifications (Preferred):

      Certifications or training in wellness practices such as massage therapy, esthetics, or wellness coaching are a plus.

      CPR and First Aid certified.

       

      Physical Requirements:

      Ability to stand for extended periods of time.

      Ability to lift up to 25 pounds, as needed.

      Must be able to handle a flexible work schedule, including evenings and weekends, as the business may require.

       

      Work Environment:

      The Spa Manager will work in a wellness-focused, holistic spa environment that emphasizes tranquility, healing, and customer service.

      The position may require interaction with guests, vendors, and the broader wellness community.
