We are seeking a highly organized and proactive Insurance Agency Office Manager to oversee daily operations and ensure the smooth functioning of our agency. Responsibilities
- Manage daily office operations, including front desk duties and multi-line phone systems
- Oversee scheduling, calendar management, and appointment coordination for staff and clients
- Supervise administrative staff and coordinate training & development initiatives
- Handle bookkeeping, payroll, budgeting, and vendor management to ensure financial accuracy and efficiency
- Maintain filing systems and ensure compliance with recordkeeping standards
- Assist with human resources functions such as employee onboarding, policy enforcement, and performance management
- Coordinate event planning activities for agency meetings, client seminars, or community outreach programs
- Ensure excellent phone etiquette and professional communication with clients, vendors, and team members
- Support insurance office management tasks as needed to enhance operational workflows
Qualifications
- P&C InsuranceLicense
- Proven experience in office management, administrative support, or clerical roles within a professional setting
- Supervising experience with team management capabilities
- Proficiency in QuickBooks, budgeting software, and general bookkeeping practices
- Strong organizational skills with the ability to manage schedules effectively
- Experience in vendor management, human resources functions, payroll processing, and office administration
- Excellent communication skills coupled with professional phone etiquette
- Ability to handle multiple priorities efficiently in a fast-paced environment
- Prior experience in medical office management or insurance agency operations is preferred but not required
- Demonstrated ability to lead training & development initiatives and foster a collaborative team environment
