The Executive Admin Assistant will work in our Concord, CA office 5 days a week or 40 hours per week. No weekends or evenings.

This position will provide administrative, operational and marketing support to the Executive Management and Office Team. You will be tasked with implementing administrative processes, and managing business operations, overseeing social, marketing, and business activities. You are highly presentable in a client facing environment, have impeccable follow through and have exceptional communication skills, specifically verbal and written etiquette. Focused, energetic and driven. Being organized and having meticulous attention to detail is what you do best - you must be able to pivot between competing priorities and constantly think of ways to streamline the workflow and efficiencies of the team. You are technologically savvy, innovative, and have a strong creative eye. In this role you will:
- Implement operational improvements, working with the team to execute best practices in structuring an efficient work flow
- Build efficiency and effective responsiveness into existing operations, and help define new operational strategies
- Work closely and effectively with Management and Office Team to keep them informed of upcoming commitments and responsibilities and follow up as necessary
- Maintain and manage files, calendars, contacts, social networks, and website
- Manage external requests and retrieve messages on behalf of the team, providing effective communication to all parties as appropriate
- Coordinate calendars and schedule relevant meetings
- Assist with other related clerical duties as required by the team
- Assist with ad-hoc projects depending on the needs of the office
- CRM management
- Email marketing and mail marketing campaigns
- Supervising Maintenance of Warehouse and Weekly Tool Inventory
- Printing Project task lists everyday for manufacturing team and ensuring they are on target for completion dates
- Communicating with Subcontractors and bidding out jobs for project completion
- Assisting Operations with reading plans and call outs for material orders
- Attending morning meetings and ensuring team has all materials and tools needed to complete daily tasks
- Meeting with Web designer to ensure website is being properly maintained
- Directly assisting operations team with contacting clients, permit agencies, setting up appointments, etc.
- Assisting Marketing team with updating all marketing platforms and creating new content and Social media management
- Proficiency in Microsoft Office and Excel
- Bachelors Degree Required
- Comfortable with Microsoft Office Suite and Adobe
- Strong technological aptitude
- Fast learner and growth orientated
- Strong written and oral communication
- Excellent organizational and time management skills
- Strong interpersonal skills and ability to multitask in a fast paced environment
