PROJECT MANAGER REPORTS TO: Chief Advancement & Communications Officer
STATUS: Full-Time (Exempt)
LOCATION: Hybrid POSITION SUMMARY
The Project Manager for Ronald McDonald House Charities of the Ohio Valley plays a critical role in advancing our mission by leading the planning, coordination, and execution of key organizational initiatives. This includes overseeing signature fundraising events—such as Laughs for Love, The House Party, GM Rally, Volunteer Appreciation Event, The Great Outdoors, Round-Up Month efforts, and Clays for a Cause—while also supporting broader marketing, advancement, and operational projects. This position serves as a central coordinator across teams, ensuring that projects move forward efficiently, timelines are met, and details are executed with excellence. The ideal candidate is highly organized, adaptable, and able to manage multiple priorities at once—thriving in a fast-paced environment while remaining grounded in purpose.
KEY RESPONSIBILITIES
Project Management & Coordination
- Lead and manage multiple concurrent projects across advancement, marketing, and operations, ensuring timelines, deliverables, and priorities are clearly defined and executed.
- Develop and maintain project plans, timelines, task trackers, and workflows to keep initiatives on track.
- Coordinate cross-functional teams, ensuring clear communication, alignment, and accountability.
- Identify potential challenges and proactively problem-solve to keep projects moving forward.
- Support the execution of strategic initiatives by managing logistics, resources, and internal coordination.
Event Management & Execution
- Serve as the lead project manager for RMHC’s signature events, including Laughs for Love, The House Party, GM Rally, Volunteer Appreciation Event, The Great Outdoors, Round-Up Month initiatives, and Clays for a Cause. Events can change based on demand and performance.
- Oversee all logistical planning and execution, including vendor coordination, venue management, timelines, and run-of-show development.
- Maintain detailed event documentation including budgets, timelines, task lists, and post-event evaluations.
- Collaborate with advancement, marketing, and operations teams to align event goals, messaging, and execution.
- Support sponsorship fulfillment, auction coordination, and overall guest and donor experience. Act as a primary point of contact during event setup, execution, and teardown to ensure seamless delivery.
Marketing & Advancement Support
Marketing & Advancement Support
- Partner with the Brand Manager and Chief Advancement & Communications Officer to support marketing campaigns and advancement initiatives through strong project coordination.
- Assist in managing timelines, deliverables, and logistics for communications, campaigns, and donor engagement efforts.
- Coordinate materials, vendors, and internal resources needed to support project and campaign.
Operational Support & Third-Party Fundraising Growth
- Lead efforts to grow and strengthen third-party fundraising initiatives by building and maintaining relationships with local and regional businesses, community groups, and partners.
- Identify and cultivate new opportunities for external fundraising events and campaigns that align with RMHC’s mission and expand community engagement.
- Serve as a primary point of contact for third-party fundraisers—providing guidance, resources, and support to ensure successful and mission-aligned events.
- Collaborate with advancement and marketing teams to develop tools, materials, and communication strategies that empower community partners to fundraise on behalf of RMHC.
- Track and manage third-party fundraising activities, ensuring proper stewardship, recognition, and follow-up with partners.
- Support internal operations and team initiatives by maintaining organized event materials, documentation, and processes across projects.
- Contribute to a collaborative team environment by stepping in where needed and communicating effectively to support shared goals.
QUALIFICATIONS
- Bachelor’s degree in Marketing, Communications, Nonprofit Management, Business, Event Management, or a related field required.
- 3–5 years of experience in project management, event coordination, fundraising, or a related field—preferably within a nonprofit or mission-driven organization.
- Strong organizational and multitasking skills, with the ability to manage multiple projects simultaneously.
- Exceptional attention to detail and ability to execute complex logistics from planning through implementation.
- Ability to work well under pressure, adapt to last-minute changes, and problem-solve in real time.
- Strong interpersonal and communication skills, with a collaborative and team-oriented mindset.
- Self-motivated and dependable, with the ability to work both independently and collaboratively in a hybrid environment.
- Proficiency in Microsoft Office programs (including Excel) and strong spreadsheet management skills required.
WORK ENVIRONMENT & EXPECTATIONS
- This is a hybrid position, with a combination of on-site and remote work depending on project and event needs.
- Flexibility is required, including occasional evenings and weekends to support events.
- The individual in this role must be self-motivated and accountable, ensuring work is completed efficiently in a remote environment.
