Position Summary:
The Meal & Activity Coordinator plays a vital role in supporting the well-being of families staying at Ronald McDonald House Charities of the Inland Northwest by coordinating and maintaining the Make a Meal program. This position works closely with volunteer groups, community partners, and RMHC staff to ensure families receive safe, nutritious meals in a welcoming and supportive environment.
Under the direction of the Volunteer & Community Outreach Manager, this role coordinates meal scheduling, supports volunteer engagement, manages food-related logistics, and ensures compliance with food safety and sanitation standards. This role also supports simple, meal-adjacent activities that promote a welcoming and engaging environment for families and volunteers. This position focuses on operational coordination and hospitality and does not independently lead development, fundraising, family services programming, therapeutic activities, or strategic outreach initiatives.
This is a full-time, hourly (non-exempt) position with benefits and PTO as outlined in the Employee Handbook. This position is regularly scheduled Tuesday–Saturday, 11:00 AM – 7:30 PM, with flexibility based on organizational needs. Workdays and hours may vary based on organizational needs and may include evenings, weekends, and holidays.

Pay Range: $39,520 - $45,760 (DOE)
Responsibilities (95%):
Meal Program Coordination
- Manage and maintain the Make a Meal program calendar, ensuring consistent meal coverage
- Ensure a high-quality, welcoming volunteer experience throughout all meal interactions
- Coordinate, welcome, and guide volunteer meal groups, providing food safety guidance, meal preparation support, and day-of assistance as needed
- Ensure meal-related spaces are clean, organized, and prepared for volunteer use
- Track meal participation and collect feedback to support program improvement
- Ensure meals meet established safety, quality, and hospitality standards
Volunteer Engagement
- Serve as a primary point of contact for meal volunteers, including onboarding, scheduling, and follow-up communication
- Create a warm, welcoming environment for volunteer groups, enhancing their overall experience
- Strengthen volunteer relationships through communication, appreciation efforts, and ongoing engagement
- Ensure meal group registration information and photo consent documentation is completed and accurate
- Capture photos of meal groups in accordance with consent guidelines and upload to internal systems
Operations & Logistics
- Maintain and coordinate food inventory for guest-use kitchens, volunteer meal supplies, grab-and-go items, and donated pantry goods
- Track inventory levels, rotate stock, and ensure items are properly labeled, stored, and safe for guest use in the pantry database
- Upload and maintain accurate meal and inventory records as required
- Coordinate incoming food donations, including logging, organizing, and communicating needs or shortages to appropriate staff
- Work collaboratively with staff and volunteers to ensure kitchens and food storage areas remain clean, organized, and compliant with health and safety standards
- Support and guide special meal events, holiday meals, and partner-hosted food activities
- Prepare clean aprons and necessary supplies for each meal group
Community Support & Engagement
- Build and maintain positive relationships with community partners, meal donors, and volunteer groups
- Support outreach efforts to engage new meal groups in collaboration with Development and Volunteer teams
- Represent RMHC Inland Northwest in a professional, positive, and mission-driven manner
- Coordinate and/or assist with pickup of donated food items (e.g., pizzas, pastries) from community partners
- Support donor and volunteer appreciation efforts, including occasional follow-up or recognition activities
- Support simple, informal activities that complement meal times and encourage a welcoming, inclusive environment for families and volunteers
- Assist in creating a positive and engaging atmosphere within shared spaces, in alignment with RMHC guidelines and staff direction
- Collaborate with appropriate staff when supporting activities to ensure alignment with guest needs and organizational standards
Volunteer Tracking & Reporting
- Maintain accurate records of volunteer participation for reporting and stewardship purposes
- Coordinate with Development and Operations teams to highlight recurring or high-impact volunteer groups
- Support data tracking and reporting related to meal program performance
Other Duties as Assigned (5%)
- Assist with other projects, administrative tasks, or communications-related duties as needed to support RMHC INW’s mission.
Qualifications & Competencies:
- Experience in hospitality, volunteer coordination, food service, event coordination, or a related field preferred
- Strong organizational and communication skills, with the ability to manage multiple priorities and schedules
- Ability to work both independently and collaboratively in a fast-paced, family-focused environment
- Comfortable working with diverse populations, including families, volunteers, and community partners
- Basic knowledge of kitchen operations, food handling, and sanitation practices
- Experience supporting meal preparation or food service for groups preferred, including coordination of timing and logistics
- Ability to support a variety of meal needs and preferences, with awareness of dietary considerations and inclusivity
- Demonstrated ability to work in shared kitchen environments, maintaining organization, cleanliness, and a positive experience for participants
- Ability to guide and support volunteers of varying skill levels with clear communication, patience, and a service-oriented approach
- Ability to create welcoming and inclusive environments for volunteers and families within the scope of the role
- Strong multitasking skills, with the ability to manage meal coordination and light engagement activities in a dynamic, fast-paced setting
- Washington State Food Worker Card required within 14 days of hire
- Ability to maintain professionalism, sound judgment, and confidentiality in all interactions
- Strong interpersonal skills with a service-oriented and hospitality-focused approach
- Reliable, adaptable, and able to respond effectively to changing needs and priorities
- Basic computer skills required, including email, calendar management, and data entry for scheduling, communication, and inventory tracking

Working Conditions/Physical Demands:
- Requires standing, walking, and frequent movement throughout the House
- Occasional lifting and carrying of up to 50 pounds
- Work is performed onsite with regular interaction with families, volunteers, staff, and community partners
- May require evening, weekend, and holiday availability based on program and volunteer schedules
- Valid driver’s license and ability to operate a vehicle for occasional work-related tasks as needed
