What you will be doing:

RoMan's Purchasing Agent will be a supportive and hands-on procurement professional who will source, negotiate and manage the supply of materials and components to support production, maintenance and indirect needs while balancing cost, quality, delivery and risk to ensure uninterrupted operations and a resilient supply base.

Responsibilities:

Commodity Buying

· Own day-to-day planning and replenishment of copper (flat wire, bar plate), electrical components, and chemicals per approved min/max and safety‑stock levels.

· Maintain accurate lead times and reorder points in ERP; review exceptions/MRP messages daily and adjust plans for demand spikes, yield loss, and scrap factors.

· Balance buy sizes vs. material utilization; coordinate with Production/Engineering to standardize gauges/lengths where feasible.

· Keep item master attributes current (UOM, cost, lead time, vendor part numbers, country of origin) and ensure lots/heat numbers are captured per quality requirements.

MRP to Purchase Order Conversion

· Review MRP recommendations daily; convert approved requirements to POs with correct price, terms, freight/Incoterms, and delivery dates.

· Issue POs to suppliers, obtain acknowledgments within 48 hours, and update ERP with confirmed ship/arrival dates.

Expediting & De‑expediting

· Monitor open order report; proactively expedite past‑due/critical lines and de‑expedite when demand shifts.

· Communicate constraints, split‑ship options, and alternates to Planning/Production; document recovery plans and dates.

Supplier Relationship Management

· Serve as day‑to‑day contact for assigned suppliers; conduct periodic business reviews covering OTD, quality, responsiveness, and cost.

· Collaborate with Quality on NCMRs and corrective actions; track closure and effectiveness.

Supplier Master Data & Onboarding

· Assist with new supplier setup: collect W‑9, tax/exemption forms, banking/EDI details, quality/regulatory declarations (e.g., CMRT, REACH/ROHS if applicable).

· Maintain current contacts, addresses, remittance info, and certificates of insurance within ERP/vendor master.

Negotiations & Cost Management

· Participate in pricing and terms negotiations; maintain quote folders and change logs.

· Enter, track, and communicate cost changes (increases/decreases, surcharges, freight) and effective dates; coordinate with Finance on standard‑cost updates.

Product Availability & Status Reporting

· Review supplier confirmations weekly; publish status of backorders, partials, and upcoming releases to stakeholders.

· Keep promise dates current in ERP and flag risks with recovery options (alternate specs, substitute items, split shipments).

Defective Material & Returns (RMA)

· Initiate RMAs for nonconforming materials; arrange replacements/credits and coordinate containment to protect production.

· Support root‑cause analysis with Quality/Engineering and ensure supplier corrective actions are documented and verified.
