Church of the Incarnation is seeking a Parish Front Desk Receptionist.
We are seeking a warm, organized, and bilingual (English/Spanish) Front Desk Receptionist to serve as the welcoming face of our parish. This full-time role is central to daily office operations; supporting staff, coordinating volunteers, and serving our parishioners and community.
Key Responsibilities
Front Desk & Guest Services
- Serve as the first point of contact for all visitors, callers, and parishioners
- Answer, screen, and direct incoming calls and emails
- Provide information on parish programs, events, and services
- Serve as bilingual (English/Spanish) resource; translate verbal and written communications
- Receive and route mail, packages, and deliveries
- Foster a welcoming, inclusive environment reflecting parish values
Administrative Support
- Maintain the parish master calendar; coordinate room bookings for events and ministry activities
- Manage the personal calendar and schedule for the Parochial Vicar
- Attend staff meetings and prepare accurate meeting minutes
- Maintain organized physical and digital filing systems
- Provide general support for the upkeep and organization of the parish library as needed
- Assist staff with administrative tasks as time allows
Parish Bulletin
- Compile, format, and proofread weekly bulletin content
- Coordinate submission deadlines with ministry leaders and staff
- Submit to printer or digital platform on schedule
- Maintain archive of past bulletins
Volunteer Coordination
- Recruit, train, and maintain a roster of front desk volunteers to ensure the office is always covered
- Schedule volunteers to provide coverage whenever the receptionist is away from the desk
- Provide orientation and day-to-day guidance to keep volunteers prepared and effective
- Maintain volunteer contact information, availability, and scheduling records
Qualifications
Required
- Fluency in English and Spanish — required
- High school diploma or equivalent (associate degree preferred)
- 1–2 years in a receptionist or administrative role
- Proficiency with Microsoft Office and/or Google Workspace
- Strong phone etiquette and interpersonal skills
- Excellent organization and attention to detail
- Able to handle confidential information with discretion
Preferred
- Experience in a church, nonprofit, or faithbased organization
- Familiarity with parish software (e.g., Camino, Flocknote)
- Prior experience producing a newsletter or bulletin
- Volunteer coordination experience
