Gifts Administrator Non-Exempt
Purpose of Position
Oversee all aspects of Diocesan stewardship donor relations while utilizing the donor database (Blackbaud NXT/Raiser’s Edge). Ensure accurate and timely gift acceptance, acknowledgement and recording. Responsive to all donor inquiries timely.
Essential Duties, Responsibilities and Functions
· Receive and respond to all donor phone calls and email communications.
· Maintain accurate donor records for the Stewardship Office.
· Process donations sent to the Stewardship Office.
· Coordinate pledge billing including credit card and ACH gift processing.
· Ensure that consistent data standards are followed in the donor database.
· Process checks received from diocesan finance office and other ministry offices, as needed.
· Fulfill requests for and share information with other members of the Stewardship Department as requested.
- Enter charitable gift information into Raiser’s Edge.
- Ensure up to date donor biographical information as obtained from donor pledge cards, donor phone calls, updates, and returns.
- Process gift and pledge payments, payment adjustments, write offs, online giving, and processing of all credit card gifts.
- Acknowledge gifts within prescribed time frame.
- Prepare and mail all pledge reminders and other in-house, non-profit mailings.
- Communicate with priests, deacons, parish secretaries, bookkeepers and donors as needed
· Manage confidential administrative and communication assignments utilizing knowledge of donors, diocesan operations, procedures, and personnel.
· Communicate gift processing issues to donors (e.g. letters to donors for returned checks or rejected credit cards; follow-up phone calls; emails).
· Assist with Bishop’s Appeal for Ministries correspondence (e.g., Donor Acknowledgements of all types (both emailed and mailed); Monthly Pledge Reminders; and Annual Tax Statements).
· Handle telephone calls and emails from donors and parish office staff for the purpose of updating information and/or assisting either party with concerns and issues pertaining to data administration, stewardship, and/or the donation process.
- Provide associated administrative support to the Office of Stewardship and other duties as may be assigned.
· Other duties as needed.
Required Education, Skills, Experience and Abilities
· Associates degree or higher in Business; Accounting; Computer Sciences; Database Management; or similar field. (Relevant work experience in a similar field, with qualifying education level, may be substituted for specified degree field)
· Experience with Blackbaud NXT/Raiser’s Edge is highly preferable, but the diocese will consider experience with similar fundraising databases as well as other data entry experience.
· Experience with Microsoft products including Outlook, Word, and Excel.
· Demonstrated organizational ability with strong attention to detail.
· Skilled with database tools and software.
· Must be able to successfully pass a background check
· Must be proficient on a computer: must be able to sit for long periods and enter data accurately
· Must be able to type quickly and accurately.
· Must have demonstrated interpersonal skills and ability to work collaboratively
· Must be able to lift up to 15 lbs.
