Administrative Assistant Youth and Young Adult Ministry
Full-time/non-Exempt
Purpose of Position
Provide administrative and ministerial support to the Office of Youth & Young Adult Ministry. Collaborate with other diocesan offices—such as the Bishop’s Office, Office of Christian Formation, Office of Marriage & Family, Office of Vocations, and Office of Hispanic Ministry in planning, promoting, and implementing diocesan and regional programs, events, and initiatives. Work directly with the Diocesan Director of Youth & Young Adult Ministry and OYYAM staff to plan, market, and implement events and ministry programs. Collaborate in setting goals to enhance and strengthen related ministries across the diocese.
Essential Duties, Responsibilities and Functions
Administrative & Office Support
- Maintain databases, records, and calendars for programs, events, volunteers, and communication lists.
- Coordinate registration, payment, and Safe Environment documentation for diocesan-sponsored events.
- Manage office supplies, program inventory, correspondence, and scheduling for the Director and staff.
- Maintain accurate financial records, prepare check requests, and assist with budget tracking under the supervision of the Director.
- Handle confidential information with discretion and professionalism.
- Support staff and manage front desk duties as needed.
Event & Program Coordination
- Assist in the planning, logistics, and implementation of events at the parish, deanery, diocesan, and national levels.
- Coordinate event details including budgets, contracts, speakers, transportation, facilities, technology, equipment, printing, and hospitality.
- Serve as a point of contact for parishes, pastors, and volunteers before and during events.
- Support event setup, decorations, sound systems, and other technical or logistical needs.
- Manage last-minute adjustments and troubleshoot issues with flexibility and composure.
Communication & Marketing
- Assist in the design and preparation of marketing materials, including flyers, brochures, newsletters, and digital content.
- Maintain regular communication with parish ministers, volunteers, and diocesan partners.
- Post and monitor office social media content to promote upcoming programs and events.
- Support publication of the Equipped e-newsletter and diocesan website updates.
Collaboration & Representation
- Attend Chancery Staff, Diocesan Youth Ministry Advisory Board (DYMAC), Diocesan Young Adult Advisory Council (DYAAC), and Administrative Assistant meetings.
- Serve as a liaison between the diocesan office and parish staff to promote collaboration and shared mission.
- Represent the office at diocesan events and training sessions in an administrative role.
Other Duties
- Demonstrate initiative in improving workflow and suggesting innovative ideas for ministry effectiveness.
- Perform other responsibilities as assigned by the Director.
Required Skills, Qualifications, Education and Abilities
· A practicing Catholic in good standing with the Church.
· Fluent in English and Spanish (written and spoken)
· High School diploma required, associate’s degree preferred.
· Proven experience in administrative and or ministry support role preferred.
· Awareness and the ability to work with cultural diversities.
· Excellent verbal and written communication skills.
· Excellent interpersonal skills.
· Demonstrated organizational skills, communication skills and attention to detail.
· Excellent time management skills with a proven ability to meet deadlines.
· Excellent coordination of events skills.
· Prior experience in youth and young adult ministry is a plus.
· Ability to maintain confidentiality.
· Ability to adapt to the needs of the office.
· High proficiency with Microsoft Office and digital communication tools.
· Be available for occasional weekend and evening work during conferences, events, meetings, etc.
· Must be able to pass a background check.
Physical Demands
· Regularly required to sit and/or stand for extended periods of time.
· Must be able to use hands in repetitive motion tasks, handle objects, speak and hear.
· Must be able to lift and carry supplies for events.
