The Bilingual Administrative Assistant provides comprehensive administrative, clerical, and linguistic support to ensure the efficient operation of the office, acting as a crucial communication link between English-speaking and Mandarin-speaking staff, clients, and external stakeholders.
Responsibilities
- Greet and welcome visitors, clients, and employees in a courteous and professional manner.
- Answer, screen, and forward incoming phone calls in both English and Mandarin.
- Schedule appointments and maintain calendars for staff members regarding the assigned client support area.
- Perform clerical duties such as filing, data entry, and maintaining accurate records.
- Document Management: Maintain highly organized electronic and physical filing systems, ensuring quick retrieval of project-related and general office documents.
- Respond to inquiries and provide information regarding services, policies, and procedures.
- Assist with administrative tasks as needed, including correspondence and document preparation.
- Manage and organize incoming and outgoing mail and packages.
- Maintain office supplies inventory and place orders when necessary.
- Coordinate with other departments to ensure smooth communication and workflow.
- Assist with billing and invoicing, as needed.
- Project Documentation: Assist the Project Manager or team with gathering, compiling, and formatting project-related documents, reports, and updates.
- Information Gathering: Facilitate communication by reaching out to Mandarin-speaking vendors, clients, or internal departments to collect necessary administrative information.
Experience
- Proven experience in a receptionist , customer service or clerical role is preferred.
- Excellent communication and interpersonal skills.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and general office equipment.
- Ability to multitask and work in a fast-paced environment.
- Excellent organizational skills with attention to detail.
- Ability to communicate effectively in both English and Mandarin is essential.
- Previous experience in an office environment is desirable.
- Proactivity: Self-motivated and resourceful, with a willingness to take ownership of tasks and help streamline administrative workflows.
