Under general supervision, the Billing Administrative Assistant performs various accounting and clerical task related to support the Construction and Raymond Self Storage department.

JOB DESCRIPTION:

Manage Raymond Avenue Billing, Deposits, and Collections & Eviction Notices. Deposit all incoming checks for Storage Facility. Maintain & update reports for the daily status of all payable/bank accounts. Assist project manager with contractors, scheduling & following ups. Set up & maintain all work project schedules/budgets & forecasts for Construction projects. Set-up & Maintain All Files for Personal & Commercial Properties.

Raymond Avenue Self-Storage Duties

· Mail invoices by the 15th of the prior month (i.e., January 15th for February rent)

· Monthly Collections of rents

· Run statements

· Post payments & deposits in QuickBooks

· Prepare daily bank deposits for all checks received

· Prepare Vendor Checks For Payment

· Input invoices into Quick Books

· Prepare weekly status reports – due each Monday

Constructions Duties

· Call contractors to set meetings

· Code invoices, comparing to PO’s & quotes

· Update construction payables daily.

· Maintain contracts files, including work orders, POs, contracts, etc.

· Entering in QuickBooks

· Research prices & vendors when necessary for comparisons

QUALIFICATIONS:

· Two-year degree in Accounting

· Self-starter who has the ability to prioritize work and multi-task.

· Excellent attention to detail and highly organized.

· Proactive and the ability to work with deadlines.

· Must be able to manage confidential conversations and data.

· Good telephone personality and able to communicate effectively.

SKILLS: QuickBooks (16), Microsoft Office, including Excel and Word

EXPERIENCE: Accounting for small businesses, construction, real estate office, or property management. Experience with collections.

Job Type: Full-time

Pay: $22.00 - $24.00 per hour
