Job Title: Legal Assistant (5 years of experience)
FLSA Status: Non-Exempt
SUMMARY:
In a team environment the Professional Assistant will provide a wide range of secretarial, administrative, personal and legal office services to all assigned attorneys, executives and/or paralegals of the Firm. The position requires the ability to perform duties of a responsible and confidential nature, to organize and expedite workflow of lawyer/legal staff members. Maintains positive contact with clients, attorneys and staff and observes confidentiality of client matters. This position requires the ability to meet challenges that lie beyond their current job responsibilities and ability to solve problems creatively with little or no supervision.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Draft, revise, finalize and distribute all correspondence, memoranda, agreements, contracts, legal documents, briefs, charts and reports for department attorneys or executives.
- Must be able to ascertain matters or priority and urgency and be able to respond in a quick and efficient matter, use initiative and judgment to minimize the effect in a lawyer’s absence, and refer matters to appropriate delegated authority. Critical thinking skills a must.
- Creates, organizes and maintains files; file documents as requested and retrieve documents from files when needed. Conducts periodic review for possible storage of old files; prepares files to be closed.
- Coordinates and schedules hearings, depositions and mediation, reserves court reporters, and is familiar with calendaring all deadlines as appropriate.
- Requests conflict of interest checks.
- Input attorney time into time keeping system as requested.
- Prepare travel arrangements, calendar appointments, coordinate meetings (both within and outside the office) for attorneys in the department as requested.
- Arrange and coordinate lunch meetings.
- Prepares, updates attorney/client matters lists, telephone lists and distribution lists.
- Take and transcribe dictation.
- Answer incoming telephone calls and relay messages to appropriate parties in a timely and accurate manner.
- Perform various administrative duties such as expense reports, cash advances, docket cases (if necessary), proofread documents, etc.
- Perform special projects for attorneys.
- Photocopy documents as requested as well as assemble documents for depositions, mediations, expert witnesses, trial, etc.
- Prepare materials for distribution via email, U.S. mail, fax, Federal Express/UPS, courier, etc.
- Receive, open, prioritize and distribute incoming mail.
- Work in a team environment providing support to fellow professional assistants and paralegals.
- Other duties as assigned such as filing, receptionist phone coverage, etc.
REQUIREMENTS:
- Law firm experience is required.
- Familiarity with Florida E-filing portal is a must.
- Experience with filings in Court’s outside of Jacksonville.
- Proficient experience with all Microsoft Office products.
- Experience with using a document management system is a must.
- Exceptional verbal and written skills is a must.
- Attention to detail and meticulous proofreading for legal documents is a must.

To perform this job successfully, one must be able to perform each essential duty satisfactorily and, in a manner, consistent with Firm expectations.
WORK-RELATED EXPERIENCE AND/OR EDUCATION:
A high school diploma or GED is required. Any college experience is beneficial but not necessary. A minimum of five (5) years of prior law firm job-related experience is necessary.
LICENSING OR CERTIFICATION REQUIREMENTS:
None required.
INTERPERSONAL SKILLS:
Must possess good verbal and written communication skills, organization skills, prioritization/time management skills, and work effectively under stressful conditions. Must also possess emotion intelligence and the ability to work as a team.
CUSTOMER SERVICE SKILLS:
This position operates in a service department environment and must be familiar with the needs and expectations of internal and external customers. Must possess above average to highly developed customer service skills in order to satisfy these expectations.
OTHER ESSENTIAL SKILLS:
Must possess strong typing skills, computer skills, dictation skills, filing skills, telephone skills, language skills (including grammar, spelling, etc.) and performs competently all the functions of the Firm’s various software programs and computer hardware. Must have the ability to respond to the needs of the Firm by being flexible with hours, assignments, and overtime.
