Residential Supervisor- PM Shift

The Residential Supervisor provides leadership and oversight to assist the Manager. This position also performs regular duties, works with the respective program manager and /Director of Clinical Services to assist in overseeing the residents’ care, programming, activities and other related services to meet their physical, emotional and spiritual needs.

Please note PM shift is 3pm-11:30pm

Week 1: Mon PM, Tuesday PM, Wed PM, Thursday PM, Saturday 11-7:30PM

Week 2: Sunday 11- 7:30 PM, Tues PM, Wed PM, Thursday PM, Friday PM


Job Duties & Responsibilities

Supervisory duties (under direction of manager/director) to include:

  • Assist with the oversight of staff and maintaining staffing levels to grid.
  • Ensure all shifts are staffed and can accommodate capacity of program.
  • Participate in recruitment activities including posting positions, hiring and onboarding new staff.
  • Complete introductory and annual evaluations.
  • Ensure patients are attending group. If absent, make sure documentation has been entered into medical record.
  • Oversee and ensure patient rounds are being entered into medical records. Provide needed Residential Care Specialist (RCS) training on rounding.
  • Ensure medication protocols are being followed and action plans are created when a Qstatim is entered into the system.
  • Provide direct cognitive behavioral and other therapeutic services to program patients according to clinical standards of care.
  • Support clinical staff in leading staffing orienting to the assessment, treatment and discharge planning of patients who receive cognitive behavioral therapy services.
  • Maintain and assure consistent service delivery for patients receiving cognitive behavioral therapy according to the established standards of care.
  • Develop program materials in conjunction with manager/director, i.e., handouts, fact sheets, manuals.
  • Participate in weekly supervision sessions with the providers and communicate with the manager or director on an ongoing basis regarding clinical issues.
  • Offer ongoing training, support and coaching to staff members less familiar with the cognitive behavioral therapy model.
  • Participate in Rogers’ program research activities.

Document Clinical Supervision

  • Assure documentation of treatment plans, hierarchies and psychosocial information and completeness of the medical record.
  • Conduct periodic record audits of medical records to assure proper documentation for patients receiving cognitive behavioral therapy.
  • Communication
  • Participate in multidisciplinary treatment team meetings.
  • Communicate with aftercare providers to ensure continuity of care, if warranted.
  • Communicate with the Utilization Review department to provide information necessary to assist in facilitate payment for services, if warranted.
  • Establish and maintain strong lines of communication with clinical supervisors related to cognitive behavioral programming.
  • The Residential Supervisor will have involvement with managed care companies as needed and coordinate with the utilization review manager or lead.

Monitor the safety of the environment

  • Maintain updated knowledge of policies and procedures for patient and employee safety, and emergency or evacuation plans.
  • Complete daily rounds for safety (i.e., rounds board, sanitation, Residential Care Center (RCC) and Community Based Residential Facility (CBRF) codes), door lock and alarms.
  • Complete maintenance reports.
  • Complete the appropriate documents and Qstatim documentation with an employee or visitor has been injured and demonstrate appropriate response.
  • Maintain update knowledge in life-sustaining techniques and emergency first aid.
  • Maintain the safety and confidentiality of the patient and patient records.

Monitor the safety of the residents

  • Evaluate residents and communicate to staff observed safety behaviors to anticipate clinical concerns.
  • Intervene appropriately to maintain resident safety.
  • Use knowledge of potential indicators of dangerous behavior.

Communicate With The Manager/director, Physician And Other Staff Members.

  • Report verbally and/or in writing pertinent date to physician and the treatment team as necessary and discern situations requiring immediate attention versus postponement.
  • Communicate as necessary with the program manager/director and other treatment team members regarding the residents’ treatment and care, both verbally and in writing.
  • Complete the shift-end report per residential guidelines providing pertinent and factual information.
  • Facilitate the completion of physician requests/orders.
  • Assist staff with medical record delinquencies as needed.
  • Daily/Frequent check-ins with census this includes:
  • Identifying, understanding and working through barriers to obtaining maximum census.
  • Reviewing scheduled discharges and scheduled admissions to ensure efficient scheduling of admissions.
  • Participate in the on-call rotation.
  • Support Payroll needs by approving PTO, payroll management system timecard adjustments and approvals.

Assist in providing training and education to staff

  • With new employee orientation and training.
  • Provide on-going education, training, coaching, coaching sessions and feedback to existing staff.
  • Conduct audits and provide feedback.
  • Complete 90-day evaluations.
  • Engage in simple disciplinary process for staff as needed.
  • Provide immediate feedback to applicable staff regarding service delivery and best practice. The Residential Supervisor provides feedback and observations relative to performance issues to the employee’s manager.

Participate in activities organized to ensure quality of services

  • Participate and aid in the identification of performance improvement projects for residential-related issues.
  • Interact with residents, family members, and significant others to reflect excellence in customer service.

Adhere to treatment philosophy, structure of the program, and individualized treatment plans

  • Communicate with the residents in a respectful, caring and encouraging manner to help maintain their dignity and well-being.
  • Complete program-specific competencies and training requirements as developed by the program manager/director, clinical coordinator and/or Talent Development.
  • Be involved in education and knowledge of the various aspects of treatment approach to recovery and apply these principles to daily interaction with residents.
  • Act as a resource for residents when they have questions regarding the philosophies behind the program.
  • Take responsibility to assure the program schedule is followed as compiled by the treatment team, and report any deviations to the program manager/director and/or the primary counseling staff.

Complete documentation related to residents within the medical record

  • Complete the evacuation assessment on day and PM shifts, as necessary.
  • Complete the daily flow sheets before the end of each shift.
  • Complete the daily treatment progress notes as designated for the specific program.
  • Monitor supplies
  • Monitor daily supplies and complete the appropriate documents to restock as necessary (i.e., office supplies forms, food orders).
  • Obtain a signature from the program manager/director for all supplies ordered.

Assist residents to groups, activities and appointments

  • Monitor group attendance and assist residents as needed to attend programs as scheduled.
  • Follow program guidelines for arranging transportation to outside appointments and complete vehicle reservation forms as appropriate.
  • Participate in and provide input to changes made or needed to be made in the residents’ schedule on an ongoing basis.

Coordinate treatment services to residents

  • Participate in groups and experiential sessions.
  • Plan and facilitate education groups/lectures with residents.
  • Use group dynamics and related treatment techniques effectively.
  • Participate in family weekend programming as directed by the program manager/director.
  • Conduct one-on-one sessions as needed.
  • Plan and facilitate leisure group, PM and weekend group activities.
  • Provide training to staff and community resources.
  • Participate in new staff orientation.
  • Participate in outside marketing activities as directed by the program manager/director.


Additional Job Description

Education/Training Requirements

  • A Bachelor’s degree required. A Master’s Degree in a social or behavioral science field preferred.
  • Must meet one (1) of the following qualifications:
  • Have three (3) years of experience in public or private institutional child/adult care for the type of population the center serves and have one year of experience as a supervisor OR satisfactory completion of at least one course for credit in supervisory skill development and personnel management OR have 40 hours of documented in-service training involving supervisory skill development and personnel management.
  • American Heart Association CPR certification within thirty (30) days of hire. Bi-annual re-certification is required.
  • Training in Nonviolent Crisis Intervention (NCI) within sixty (60) days of hire/transfer. Annual re-certification is required.
  • CPR certification is required to be completed within (30) days of employment start date.
  • Hold a valid Wisconsin driver’s license.
  • Successfully pass the Caregiver Background Check.
