Operations Support Specialist
Job description
Roeing is currently looking for a motivated Operations Support specialist to join our Team. This team member is responsible for supporting daily sales operations through vendor coordination, pricing management, deal registration, renewals administration, E-Rate program support, and purchase order oversight. This role serves as a critical operational resource for the company by ensuring accurate pricing, timely quote support, efficient order processing, and proactive management of licensing and renewal opportunities.
The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced environment while maintaining strong communication with vendors, distributors, internal stakeholders, and sales leadership.
Key Responsibilities
Purchasing
- Manage vendor deal registrations to secure competitive pricing, discounts, and special bid opportunities for customer engagements.
- Coordinate and submit bid requests with multiple vendors and distributors to obtain optimal pricing, product availability, and delivery timelines.
- Maintain strong working relationships with vendor and distributor representatives to improve response times and support sales initiatives.
- Monitor vendor promotions, rebate programs, and pricing incentives to maximize profitability and sales opportunities.
Sales Operations Support
- Assist sales representatives with quote preparation, product sourcing, and pricing requests.
- Maintain and update internal pricing documentation, vendor worksheets, and promotional tracking materials for sales team reference.
- Support sales staff by ensuring accurate and current product, pricing, and licensing information is readily available.
- Collaborate with internal departments to ensure smooth order processing and customer fulfillment.
Order & Renewal Management
- Track and manage recurring software, licensing, warranty, and service renewals on a monthly and annual basis.
- Prepare renewal pricing and supporting documentation for the sales team to facilitate proactive customer outreach.
- Maintain accurate renewal schedules and assist in identifying upsell or cross-sell opportunities related to renewals.
- Administrative & Reporting Responsibilities
- Maintain accurate records of vendor communications, pricing history, sales activities, and renewal timelines within internal systems.
- Ensure documentation and tracking systems remain organized and up to date.
- Generate reports and provide operational support related to sales activities, renewals, vendor programs, and E-Rate opportunities as needed.
- Assist in developing and improving internal sales processes and operational workflows.
- Qualifications
- Previous experience in inside sales, sales support, sales operations, procurement, or administrative coordination preferred.
- Strong organizational skills with the ability to manage multiple projects and deadlines simultaneously.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office applications, particularly Excel and Outlook.
- Experience working with vendors, distributors, and pricing systems preferred.
- Strong attention to detail and problem-solving abilities.
- Ability to work independently while collaborating effectively within a team environment.
- Preferred Skills
- Experience within the IT, managed services, or technology industry.
- Familiarity with software licensing, procurement, and renewal processes.
- Understanding quoting, order management, and sales support workflows.
- Experience using ConnectWise, CRM, ERP, or PSA platforms.
Additional Information
- Pay is negotiable and will be based on knowledge and experience with opportunity for increases as responsibilities increase.
- Normal hours are M-F from 8 a.m. to 5:00 p.m.
- Must be able to pass a background check and drug screen

Job Type: Full-time (in office)
Salary: $40,000.00 - $60,000.00 per year (negotiable)
Schedule:
- 8-hour shift (Minimal after-hours work may be required)
