Job Overview
We are seeking a dynamic and friendly Front Desk Receptionist to serve as the welcoming face of our office. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors, clients, and team members. Your organizational skills and office management expertise will ensure smooth daily operations, creating a positive first impression and supporting the overall efficiency of our office environment. Responsibilities:

  • Greet and check in patients in a professional and friendly manner
  • Answer multi-line phone system and direct calls appropriately
  • Schedule, confirm, and reschedule patient appointments
  • Verify insurance information and collect copays/payments
  • Maintain accurate patient records in electronic medical record (EMR) systems
  • Assist patients with intake forms and office procedures
  • Coordinate communication between patients, providers, and clinical staff
  • Handle patient inquiries regarding appointments, billing, and referrals
  • Process incoming faxes, emails, and medical correspondence
  • Maintain confidentiality and compliance with HIPAA regulations
  • Manage front office workflow to ensure efficient daily operations
  • Perform data entry and update demographic and insurance information
  • Monitor office supplies and place orders as needed
  • Support providers with administrative tasks and patient coordination
  • Maintain a clean, organized, and welcoming reception area

Qualifications:

  • Strong customer service and interpersonal communication skills
  • Ability to manage multiple tasks in a fast-paced environment
  • Professional phone etiquette and strong written communication skills
  • Experience handling patient scheduling, check-in, and check-out procedures
  • Basic understanding of medical billing and insurance processes
  • Strong organizational skills and attention to detail
  • Ability to maintain confidentiality and handle sensitive patient information
  • Proficiency in Microsoft Office Suite, including Outlook, Word, and Excel
  • Ability to work independently and collaboratively with healthcare staff
  • Reliable attendance and punctuality
  • Ability to remain calm and professional when handling difficult situations or patients
