Position Summary
The Assistant Buyer is supports daily purchasing and procurement operations by coordinating purchase orders, communicating with vendors, tracking deliveries, and maintaining procurement documentation. This role assists the Procurement Manager and cross-functional teams in ensuring timely and accurate purchasing activities that support business operations and production needs. This position offers opportunities for growth and development within a purchasing and supply chain operations.
Key Responsibilities
The Assistant Buyer will be expected to consistently deliver outstanding outcomes in the following areas:
- Coordinate the purchasing of non-inventory supplies, including office, shipping, warehouse, and operational materials through approved vendors and purchasing platforms.
- Process, and track purchase orders within the ERP/MRP system to ensure timely confirmations, accurate delivery timelines, and on-time receipt of materials.
- Monitor open purchase orders and proactively communicate shipment updates, delays, shortages, or ETA changes to internal departments and stakeholders.
- Maintain accurate procurement records by ensuring Bills of Lading (BOLs), invoices, confirmations, and supporting documentation are properly received and attached to purchase orders.
- Support vendor communication and relationship management by following up on order status, resolving discrepancies, and assisting with supplier coordination activities.
- Assist Research & Development (R&D) teams with sourcing ingredients, packaging, samples, and materials from existing or prospective vendors for product development initiatives.
- Collect, organize, and maintain vendor documentation, product specifications, certificates, and compliance-related records as required.
- Identify opportunities to improve purchasing workflows, organization systems, tracking methods, and communication processes to support operational efficiency.
This role requires a high level of organization, attention to detail, and capability in managing multiple priorities in a fast-paced manufacturing environment.
Education, Experience & Skills
- 1–3 years of administrative, purchasing, customer service, inventory, or supply chain experience.
- Strong computer proficiency, including Microsoft Office Suite (Excel, Outlook, Word).
- Excellent organizational skills with the ability to manage multiple priorities and deadlines.
- Strong attention to detail and follow-through.
- Effective written and verbal communication skills.
- Comfortable placing orders and communicating with vendors via phone, email, and online purchasing systems.
- Ability to work independently while collaborating effectively across departments.
- Demonstrated problem-solving skills and a proactive mindset.
- Food manufacturing, confectionery, consumer packaged goods (CPG), or related industry experience strongly preferred.
- Experience utilizing ERP/MRP systems for purchasing, inventory management, forecasting, and procurement planning.
- Strong negotiation, supplier management, and vendor relationship-building skills.
- Excellent planning, analytical, organizational, and critical thinking abilities.
- Ability to manage multiple priorities, deadlines, and changing business demands in a fast-paced environment.
- Strong written and verbal communication skills with the ability to collaborate effectively across departments.
- Experience reviewing or supporting contracts, vendor agreements, and procurement documentation.
- Proficiency in Microsoft Office Suite, particularly Excel and Outlook.
- Strong attention to detail with a high level of accuracy and follow-through.
- Ability to work independently while contributing effectively within cross-functional teams.
PREFERRED QUALIFICATIONS
- Associate’s degree in Business, Supply Chain, Operations, or related field preferred, but not required; equivalent work experience may be considered.
- Experience working in a manufacturing, production, or distribution environment.
- Experience using ERP/MRP systems for purchasing and inventory management.
- Familiarity with supply chain coordination, forecasting, and procurement planning.
- Experience supporting R&D or product development sourcing initiatives.
PHYSICAL ENVIRONMENT
- Primarily office-based within a manufacturing and production environment.
- Frequent use of computers, phones, and standard office equipment.
- May occasionally walk through warehouse, shipping or production areas.
- Ability to remain seated for extended periods while performing computer-based work.
- Occasionally required to lift or move items up to 20 pounds.
- Must be able to communicate effectively with internal teams, suppliers, and external business partners.
