Job Purpose & Scope

The SAP Shipping Coordinator is responsible for coordinating and executing all outbound shipment activities through SAP to ensure accurate, efficient, and timely delivery of customer orders. This role serves as the key liaison between warehouse operations, production, customer service, and carriers to maintain compliance with company procedures and customer requirements.

Key Responsibilities & Job Content

  • Create, and manage shipping documents (deliveries, pick lists, transfer orders, bills of lading, etc.)
  • Verify shipment accuracy including quantities, weights, and customer-specific requirements prior to dispatch.
  • Coordinate daily shipment schedules with Transportation Planner and 3rd party transportation provider.
  • Coordinate activities for Pick Pack and staging of orders with the department team lead and crew.
  • Demonstrate a competent working knowledge Import/Export activities, all legal compliance requirements, customs regulations, customs forms, and coding of tariffs, to mitigate delays and extra costs at border crossings and ports of entry/departure.
  • Maintain an import/export manual containing key processes, partners, contact information and SOP documentation of the entire supply chain process as it relates to import/export compliance and execution.
  • Works closely with the planning team as it relates to production scheduling of products for import/export procurement requirements.
  • Maintain KPI files with timely, daily, data entry of shipping activities.
  • Keep all required logs up to date prior to team meetings.
  • Log any OTS (On Time Shipping) issues as they arise and contribute these to the weekly team meetings.
  • Ccommunicate shipping schedules and status updates to internal departments and customers as needed.
  • Maintain accurate shipment records and ensure proper filing of all department documentation.
  • Collaborate closely with Customer Service to resolve shipping discrepancies, order changes, or freight issues.
  • Monitor open delivery reports and follow up to ensure timely goods issue postings.
  • Support inventory reconciliation processes by ensuring all shipments are processed and closed in SAP.
  • Ensure compliance with safety, quality, and company policies during all shipping operations.
  • Provide back up to Team Leader and cross training as required.
  • Other reasonably related duties as assigned by supervisor/manager.

What You Bring:

  • High school diploma or equivalent.
  • Minimum 5 years’ Logistics experience.
  • Flexibility to work extended hours or weekends when needed.
  • Demonstrated SAP mainframe experience.
  • Strong Knowledge of Import / export documentation, compliance regulations, and cross-border shipping procedures.
  • Strong understanding of shipping documentation and logistics processes.
  • High attention to detail and accuracy.
  • Excellent communication and organizational skills.
  • Ability to prioritize and manage multiple tasks in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Excel, Outlook, Word, Microsoft Teams).
  • Customer-focused mindset with a proactive approach to issue resolution.
