Logistics Location: San Francisco Bay Area (Hybrid – 1 days/week onsite at Databricks San Francisco HQ, remainder remote)Employment Type: Full-time, 40 hours/week with RockIt EventsDuration: 15-month placement with Databricks with year-long renewals after the initial placementStart Date: ASAPAbout the RoleRockIt Events is seeking a proactive, detail-oriented Sales Support & Executive Briefing Coordinator to support the Databricks Executive Briefing program. This full-time, 40 hour/week position plays a key role in enabling the Sales, Marketing, Facilities, and IT teams to deliver exceptional customer experiences at the Databricks HQ office in San Francisco and across global teams.The ideal candidate is organized, customer-focused, and confident managing multiple moving parts in a fast-paced environment. You’ll partner closely with internal stakeholders, handle logistics, manage communications, and streamline processes to keep programs running smoothly.Key ResponsibilitiesPartner with Sales, Marketing, Facilities, and IT teams to coordinate executive briefings and related customer engagement logistics.Submit and track support and facilities tickets, ensuring timely resolution and proactive follow-up.Gather and confirm all event and meeting details from account representatives; proactively identify and resolve gaps in information.QA presentation decks and supporting documentation for accuracy, consistency, and completeness.Manage expense submissions and reporting through Emburse.Draft and send customer-facing communications, including welcome emails, next steps, and post-event feedback surveys.Maintain organized processes and documentation; identify opportunities to improve workflows and efficiency.Work cross-functionally with global teams to support executive briefings and events in multiple regions.Attend Executive Briefing Center (EBC) and other events in San Francisco as needed.Qualifications3 years of experience in sales support, event coordination, or executive operations.Open to driven early-career professionals who are highly organized, proactive, and eager to learn.Comfortable working directly with executives and senior leadership; able to communicate professionally and confidently.Strong multitasking skills and attention to detail; comfortable managing numerous tasks and stakeholders simultaneously.Excellent written and verbal communication skills; confident and direct when working with sales and executive teams.Customer-service mindset with the ability to see the bigger picture and understand business goals.Proactive, solutions-oriented approach; takes initiative to “chase down” needed information and drive tasks forward.Skilled in Google Workspace and Slack; quick to learn new systems and processes.Experience using Emburse for expense management is a plus.Hospitality background (restaurant, hotel, or events) a plus.
