Sales & Events Coordinator
(Wedding & Special Events Venue)
Position Overview
We are seeking a highly organized, people-oriented, and detail-driven Sales & Events Coordinator to manage incoming inquiries, guide clients through the booking process, and coordinate event details from first contact through execution. This role is a key point of contact for our clients and plays a vital role in both revenue generation and client experience.
This position requires strong communication skills, confidence in sales conversations, excellent follow-through, and the ability to manage multiple events and deadlines in a fast-paced environment.
Sales & Client Experience Responsibilities
- Serve as the primary point of contact for wedding and event inquiries
- Promptly respond to all leads via email, phone, website forms, and social platforms
- Qualify leads and guide clients through package options, pricing, and venue offerings
- Conduct in-person and virtual venue tours
- Prepare, send, and follow up on quotes, contracts, and booking paperwork
- Track all leads, tours, bookings, and follow-ups to ensure no opportunities are missed
- Convert inquiries into booked events through clear communication and relationship-building
Event Coordination & Operations Responsibilities
- Coordinate all client communication leading up to events to ensure details are complete and accurate
- Manage timelines, vendor coordination, and internal event notes
- Ensure required vendors (DJ, catering, bartending, staffing, etc.) are confirmed per event
- Create and maintain event files, schedules, and internal documentation
- Assist with staffing schedules and event reminders
- Support on-site coordination as needed to ensure smooth event execution
Administrative & Office Responsibilities
- Maintain organized digital filing systems and client records
- Manage inbox organization and respond on behalf of management when appropriate
- Screen and route phone calls, messages, and inquiries
- Assist with job postings, interview scheduling, and staff communication as needed
- Support internal systems for data tracking, reporting, and process improvement
Qualifications & Skills
- Strong written and verbal communication skills
- Highly organized with excellent attention to detail
- Comfortable managing multiple clients, deadlines, and moving pieces at once
- Confident speaking with clients and leading sales conversations
- Proficient in Google Drive, Word, Excel, and digital scheduling tools
- CRM or event software experience (Caterease, Flowlu, or similar) is a plus
- Experience in weddings, hospitality, sales, or event coordination preferred
