Surgery Scheduler – Responsibilities

Efficiently and accurately perform clerical functions related to scheduling OR cases.

Schedule patient surgeries for designated rooms, ensuring accuracy and timeliness.

Answer phone calls quickly, courteously, and professionally.

Receive, file, and distribute electronic intake documentation.

Maintain a high level of active communication with:

Customers
-
Surgeons and surgeon’s offices

Members of the healthcare team

Ensure all scheduling information is complete and promptly relayed to the appropriate departments.

Collaborate with perioperative leadership to support smooth daily OR operations.
HIM Clerk – Responsibilities
-
Respond promptly to requests for medical information in compliance with HIPAA, state law, and hospital policy.
-
Greet individuals entering the department and determine their needs in a courteous and professional manner.

Answer and route telephone or in-person inquiries to the appropriate staff.
-
Monitor the transcription queue for pending reports.
-
Review electronic document management system (EDMS) records for image quality, proper indexing, and accuracy.

Analyze all types of records post-discharge/service for physician documentation deficiencies.

Assist physicians with chart completion and maintain the overall integrity of the medical record.

Perform daily follow-up on documentation deficiencies using reporting tools.

Handle release-of-information (ROI) requests, including communication with:

Attorneys
-
Insurance companies
-
Worker’s Compensation representatives
-
Process medical record requests from the Central Billing Office.

Maintain working knowledge of the electronic document management system processes and workflows.

Answer and direct incoming telephone calls regarding medical records or HIM services.

Pull charts as requested by nursing staff throughout the facility.

Prepare documents for scanning into the EDMS.

Examine pages for proper patient identification and completeness prior to scanning.

Scan and index documents into the EDMS accurately and efficiently.

Appropriately batch documents to maintain workflow and record organization.

High school diploma or equivalent required; associate degree in Health Information Technology, Business, or a related field preferred.

Minimum 1 year of experience in a healthcare administrative, HIM, or scheduling role (acute care experience preferred).

Knowledge of HIPAA regulations and medical terminology.

Experience with EHR systems (e.g., Cerner, or similar).

Strong organizational skills with high attention to detail and accuracy.

Excellent interpersonal and communication skills, with the ability to work effectively across departments.

Ability to manage multiple tasks, prioritize in a fast-paced environment, and maintain confidentiality.
