Job Summary:
Under the direction of the Director of Student Nutrition Services, this position serves as the central administrative and technical support for the district's nutrition department. The role is responsible for managing records related to Educational Benefits, Direct Certification, verification, meal counting and claiming, and vendor purchases for federal nutrition programs, while also providing customer service and guidance to families and staff. The position performs a variety of office support and data tasks, supports the computerized school nutrition systems, assists with accounts payable and receivable, coordinates the SNS substitutes, helps orient and train new SNS staff, and provides occasional hands-on support in school kitchens, all while maintaining confidentiality and ensuring program compliance.
Essential Duties and Responsibilities:
Administrative and Office Operations Support
- Provide administrative and technical support to the SNS leadership team and kitchen staff.
- Perform general office duties, including correspondence, phones, email, filing, copying, mail processing, and document organization.
- Maintain and update department forms, letters, and compliance documentation.
- Prepare clear and accurate reports, correspondence, and forms.
- Enter, maintain and verify data in computerized systems with a high degree of accuracy and attention to detail.
- Assist with vendor purchasing by preparing purchase orders, tracking deliveries, and maintaining purchasing records.
- Support accounts payable and receivable by processing invoices, verifying charges, and communicating with vendors and district finance staff.
- Organize and prioritize work tasks to meet deadlines, especially during peak periods such as benefit application cycles, verification and end of the year rollover responsibilities.
Compliance and Technical Support
- Process, track, and maintain Educational Benefits applications in accordance with federal, state, and district guidelines.
- Coordinate Direct Certification processes, including running reports, importing data, and updating eligibility records.
- Evaluate and reconcile verification documentation to ensure audit readiness.
- Monitor and maintain meal counting and claiming records to support accurate federal and state reimbursement.
- Protect confidential student and staff information in compliance with data privacy regulations
- Support computerized school nutrition systems by entering data, running reports, and assisting with basic troubleshooting.
Staff Support & Training
- Coordinate substitute/staffing needs to cover absences and open positions
- Communicate performance difficulties and concerns regarding personnel issues
- Conduct orientation and basic training for new Nutrition Services staff on procedures, forms, software systems and department expectations.
- Offer ongoing support by answering questions and assisting with follow‑up needs.
- Provide on‑site assistance in school kitchens as needed, including food preparation, serving, cashiering, and maintaining food safety and sanitation standards.
Customer Service & Communication
- Provide responsive customer service to families and staff regarding meal benefits, account status, and program procedures in a courteous and professional manner.
- Communicate effectively with individuals from diverse backgrounds, including multilingual families.
Perform other comparable duties as assigned.
- Attend continuing education training sessions and district department meetings
- Act as a resource for handling comments and concerns regarding the meal program from internal and external parties. Market and promote the meal program to the community

Minimum Qualifications:
- High School Diploma or GED
Preferred Qualifications:
- Preferred: Two years of experience in an office or administrative support role in a child nutrition setting or equivalent supervisory experience in a K-12 child nutrition program.
Physical Requirements:
- Sedentary work
- Ability to lift supplies and other office materials to proper locations
- Occasional on-site kitchen training/assistance would require standing and moving throughout a commercial kitchen.
