Location: Bethesda, MD

Reports to: Director of Enrollment and Marketing Management

Job Type: Full-time; Non-Exempt; Administrative & Maintenance Personnel Association Collective Bargaining Unit (CBA) applicable

Salary Information: The salary range is $60,725 - $75,000 per the Administrative & Maintenance Personnel CBA Salary Scale. Compensation is determined in accordance with relevant degrees and certifications held and years of applicable experience provided.

Benefits: In addition to base compensation, this position is eligible for: 35 working days of annual leave, paid holidays, and health and retirement benefits eligibility, which includes medical, dental, vision, life insurance, and a 403(b) plan.

POSITION SUMMARY

The Admissions Coordinator is a key member of a dynamic admissions team dedicated to providing superior customer service to prospective families, ensuring a seamless intake and enrollment process. This role balances rigorous administrative data management with outward-facing community engagement, supporting the school's recruitment and retention goals through multiculturally sensitive communication, digital marketing, and event coordination. The successful candidate serves as a primary point of contact for local and international families, ensuring that Rochambeau’s unique educational advantages are effectively communicated.


ESSENTIAL DUTIES & RESPONSIBILITIES

Admissions Administration & Data Management:

  • Review and process admission application elements, verifying data integrity and inputting critical notes into the admissions database (SchoolAdmin/Finalsite).
  • Develop and execute standardized workflows to audit applications for completeness, accuracy, and regulatory integrity.
  • Generate, analyze, and distribute standard and ad-hoc statistical reports on applicant statuses and overall pool trends for leadership.
  • Facilitate the accurate creation of new student files and coordinate the enrollment confirmation process.
  • Securely maintain candidate confidentiality and ensure all database actions comply with institutional ethical standards.

Family Relations & Outreach:

  • Act as a brand ambassador, managing multi-channel inquiries (email, telephone, inquiry forms) from local and international prospective families.
  • Conduct personalized campus tours, articulating the "Rochambeau Advantage" while remaining highly sensitive to varied cultural and linguistic backgrounds.
  • Conduct individual virtual chats with families to present the program and answer questions.
  • Prepare files for review with the Admissions Committee. Participate in the admissions committee decisions and follow up with families.
  • Assist with retention efforts and the annual re-enrollment process.

Events & Marketing Support:

  • Manage calendar logistics, admissions testing schedules, and prospective family registrations across external platforms (e.g., SchoolAdmin, Sign Up Genius, Google Forms).
  • Support the full life cycle of open houses and recruitment events, including logistical planning, on-site setup, RSVP tracking, and post-event nurture campaigns.
  • Synthesize and draft content for the monthly admissions newsletter directed to prospective families.
  • Collaborate on the development, review, and distribution of creative digital and print marketing collateral to attract prospective applicants.


QUALIFICATIONS

Minimum Requirements:

  • Bachelor’s degree or international equivalent in a related field from an accredited institution
  • 2 to 5 years of professional experience in education, preferably within admissions, community relations, events, or marketing
  • Full bilingual proficiency in French and English with exceptional verbal and written communication skills in both languages (complete grammatical, spelling, and structural accuracy.
  • Demonstrated customer service excellence and the ability to interface professionally with faculty, staff, students, and external stakeholders
  • Proven organizational capacity to track, prioritize, and execute multiple competing multi-step workflows simultaneously
  • High degree of cultural competency and a demonstrated ability to work collaboratively within a diverse, international community
  • Technical proficiency in Windows/Mac OS, Microsoft Office Suite, Google Workspace, and web-conferencing tools (Zoom, Google Meet)
  • Flexibility to work evenings, early mornings, and weekends to represent the Admissions department at specialized events or testing days
  • Three Professional References (name, position, contact number, and email) listed on your CV/resume

Preferred Qualifications:

  • Prior experience handling admissions workflows specifically within a private, independent, or international school environment
  • Hands-on proficiency with specialized admissions platforms and CRMs, such as SchoolAdmin, Finalsite, or PowerSchool
  • Operational experience managing social media accounts or analyzing digital engagement via tools like Google Analytics


PHYSICAL DEMANDS

This position operates within a professional office and dual campus school environment. The role requires regular mobility to lead campus walking tours across multi-level facilities, prolonged periods of sitting or standing at a workstation, frequent utilization of computers and telephones, and the occasional ability to lift or transport event materials weighing up to 25 pounds.
