Responsibilities
Greet and welcome visitors, clients, and vendors in a professional and friendly manner.
Answer, screen, and forward incoming phone calls, ensuring timely and accurate communication.
Manage the reception area and ensure it remains tidy, presentable, and stocked with necessary materials.
Receive and distribute incoming mail, packages, and deliveries; prepare and send outgoing mail and shipments.
Schedule, confirm, and update meetings, appointments, and conference room reservations.
Provide administrative support such as filing, data entry, document preparation, and photocopying.
Maintain accurate visitor logs and follow established security protocols.
Assist with onboarding new employees, including preparing welcome materials and scheduling orientations.
Manage office supply inventory and coordinate orders with vendors as needed.
Collaborate with other departments to ensure smooth office operations.
Handle confidential information with discretion and professionalism.
Perform additional clerical or administrative duties as assigned by management.
Qualifications
High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
At least 1–2 years of experience in a receptionist, customer service, or administrative role.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and ability to learn new software quickly.
Familiarity with office equipment including phone systems, copiers, scanners, and printers.
