The Front Desk Receptionist plays a key role in creating a positive first impression for visitors and clients. This position is responsible for managing the reception area, answering and directing phone calls, handling administrative duties, and supporting the day-to-day operations of the office. The ideal candidate will be organized, dependable, and able to manage multiple responsibilities while maintaining a professional and welcoming demeanor.

Responsibilities

  • Greet and welcome visitors, clients, and vendors in a professional and friendly manner.

  • Answer, screen, and forward incoming phone calls, ensuring timely and accurate communication.

  • Manage the reception area and ensure it remains tidy, presentable, and stocked with necessary materials.

  • Receive and distribute incoming mail, packages, and deliveries; prepare and send outgoing mail and shipments.

  • Schedule, confirm, and update meetings, appointments, and conference room reservations.

  • Provide administrative support such as filing, data entry, document preparation, and photocopying.

  • Maintain accurate visitor logs and follow established security protocols.

  • Assist with onboarding new employees, including preparing welcome materials and scheduling orientations.

  • Manage office supply inventory and coordinate orders with vendors as needed.

  • Collaborate with other departments to ensure smooth office operations.

  • Handle confidential information with discretion and professionalism.

  • Perform additional clerical or administrative duties as assigned by management.

Qualifications

  • High school diploma or equivalent required; associate’s or bachelor’s degree preferred.

  • At least 1–2 years of experience in a receptionist, customer service, or administrative role.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and ability to learn new software quickly.

  • Familiarity with office equipment including phone systems, copiers, scanners, and printers.

  • Excellent verbal and written communication skills.

  • Strong interpersonal skills with a friendly and approachable personality.

  • Professional appearance and ability to represent the company in a positive manner.

  • Strong organizational skills and attention to detail.

  • Ability to multitask and manage priorities in a fast-paced environment.

  • Dependable, punctual, and able to work independently as well as in a team setting.
