We’re looking for a self-motivated, detail-oriented and collaborative candidate to assist the Project Superintendent and Project Manager with facilitating a coordinating their responsibilities.
YOUR DAY-TO-DAY: (Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions of the job.)
- Handle telephone calls from Clients and Vendors. Communicate messages effectively.
- Type correspondence, purchase orders, owner change orders, reports, etc.
- Process and distribute all incoming & outgoing mail activities, including sending UPS and FedEx.
- Assist in maintaining OSHA, MSHA, MSDS logs and files.
- Assist with processing invoices and purchase orders.
- Maintain and coordinate team members’ calendar.
- Schedule / plan / coordinate business meetings, team member calendars for repetitive items (Pay Applications due, OAC meetings, Safety lunches, etc.), projects, travel and reservations, appointments.
- Assist in maintaining Purchase Order Logs, Owner Purchase Order Logs, Material Logs, Submittals Status Logs, RFI Log, Change Order Log and Proposed Change Order Logs, Subcontracts, PO’s, CO’s, Insurance and Bonds.
- Create Expense Reports.
- Assist subcontractors and vendors with Textura process and keep required Textura documents up to date.
- Associates Degree in business is preferred. High School diploma (or equivalent) is required.
- Minimum of five (5) years' experience in an administrative assistant or secretarial role required. Previous administrative experience with a construction, architect, or engineering firm preferred.
- Ability to speak and read English required. Ability to also speak and read Spanish preferred. Ability to comprehend documents such as safety rules, operating manuals and Policy & Procedure manuals required. Ability to properly write routine reports and correspondence required.
- Excellent computer skills required. Proficiency in Microsoft Word, Outlook and Excel programs is required. Proficiency in Microsoft Access and PowerPoint preferred.
