What are the responsibilities and job description for the Operations Manager position at Roberts Event Group, A Hosts Global Member?
We're Hiring: Operations Manager
Events | Destination Management | Philadelphia
Do you love events, logistics, and making all the moving pieces come together?
Roberts Event Group is looking for an experienced, hands-on Operations Manager to join our Philadelphia team.
Since 1994, Roberts Event Group has provided special events, meeting management, destination management, entertainment, transportation, and event-production services throughout Pennsylvania, New Jersey, and Delaware. We work with organizations ranging from Fortune 500 companies to nonprofits, combining local expertise, creativity, and exceptional customer service to create memorable experiences.
About the Role
This is not a sit-back-and-supervise position.
We're looking for someone who enjoys being in the middle of the action and takes pride in making sure every detail gets handled. One day you may be developing a staffing and transportation plan, the next coordinating with venues and vendors, and the next leading a team through the execution of a major event.
The Operations Manager reports directly to the President of Roberts Event Group and works closely with our Event Planners and Event Coordinators. This position takes ownership of the operational side of our programs while supporting proposal development, planning, coordination, and successful event execution.
What You'll Do
- Oversee the operational execution of events and destination management programs.
- Coordinate event staffing, transportation, vendors, equipment, rentals, supplies, and logistics.
- Develop operational timelines, staffing schedules, transportation manifests, vendor schedules, contact lists, and other event documentation.
- Work closely with Event Planners and Event Coordinators to transition programs seamlessly from planning to execution.
- Support the proposal and RFP process through strong creative writing, helping develop compelling, detailed, and client-focused proposals, program descriptions, presentations, and RFP responses in collaboration with the Event Planning and Coordination team.
- Translate operational concepts into clear and creative client-facing content, including logistics, transportation plans, staffing, entertainment, activities, venues, and other destination services.
- Assist Event Planners and Event Coordinators with research, program development, proposal preparation, and operational costing as needed.
- Manage multiple events and operational priorities simultaneously.
- Coordinate with hotels, venues, transportation companies, attractions, entertainment providers, rental companies, and other destination partners.
- Anticipate potential challenges and create contingency plans before they become event-day problems.
- Lead pre-event operational briefings and oversee staff and vendors on-site.
- Work events on-site as needed, taking an active role in event setup, guest movements, transportation, vendor coordination, staffing, troubleshooting, and overall program execution.
- Step into the operational role needed on event day to help ensure a successful client and guest experience.
- Troubleshoot challenges and make confident, real-time operational decisions.
- Recruit, schedule, train, and manage event staff and independent contractors.
- Manage operational costs and identify opportunities to improve efficiency and profitability.
- Maintain event supplies, equipment, inventory, and other operational resources.
- Develop operational procedures, checklists, and best practices that create consistency across our programs.
- Build and maintain strong relationships with Philadelphia-area venues, hotels, transportation providers, vendors, and industry partners.
- Help leadership anticipate future staffing, equipment, vehicle, technology, storage, and vendor needs as the company grows.
You Might Be a Great Fit If...
- You have experience in event operations, event production, destination management, hospitality, transportation, live events, or a related field.
- You're exceptionally organized and naturally pay attention to details.
- You can manage multiple programs at the same time without losing sight of the big picture.
- You're the person who sees a potential problem and starts solving it before someone has to ask.
- You communicate clearly with planners, vendors, clients, staff, and leadership.
- You're comfortable making decisions when things don't go exactly according to plan.
- You can lead a team while still being willing to roll up your sleeves and jump in when needed.
- You understand that outstanding client experiences depend on outstanding behind-the-scenes execution.
- You're a strong and creative writer who can transform ideas, experiences, and operational details into compelling proposals and RFP responses.
- You're comfortable supporting the Event Planning and Coordination team during both the proposal phase and the execution phase of a program.
- You're a hands-on event professional who is willing to work events, solve problems in real time, and jump in wherever needed.
- You know Philadelphia and the surrounding PA/NJ/DE region, including its venues, hotels, transportation logistics, attractions, and event resources.
