I. Job Purpose/Objective:
The Operations Manager for the Kamehameha School Bus Division supports the General Manager in overseeing daily transportation operations and supervising staff to ensure safe, reliable, and efficient service. This role is responsible for managing driver assignments, coordinating routes and charter services, handling employee and customer concerns, and ensuring full compliance with contractual obligations for Kamehameha Schools.
The ideal candidate is a strong leader with excellent organizational, communication, and problem-solving skills who can manage multiple priorities in a fast-paced transportation environment.
2. Essential Job Functions:
Operations Management
· Oversee daily transportation operations including Regular Education routes, DOE Charter services, and Uplink routes.
· Assign drivers and vehicles to daily routes and adjust schedules as needed.
· Ensure all routes are properly staffed and covered.
· Coordinate charter assignments and midday runs in conjunction with contract routes.
· Monitor daily charter schedules and confirm driver assignments.
Staff Leadership & Administration
· Supervise and support drivers and operational staff.
· Assist with recruiting, interviewing, hiring, and training new employees.
· Maintain employee records including attendance, absences, commendations, and complaints.
· Coordinate required training such as Defensive Driving (DDC), Title 19, CPR, and First Aid.
Customer & Employee Relations
· Address and resolve customer and employee concerns promptly and professionally.
· Document complaints, follow up on resolutions, and maintain communication with stakeholders.
Fleet & Operational Coordination
· Report vehicle repair needs and operational discrepancies to the maintenance department.
· Track maintenance progress to ensure minimal operational disruption.
· Conduct regular visits to all base yards to support operational oversight.
Contract & Compliance Management
· Ensure all contractual requirements for Kamehameha Schools are met.
· Prepare and maintain annual employee and vehicle rosters.
· Submit required reports such as annual mileage documentation.
· Support annual planning and operational setup for the new fiscal school year.
Administrative & Financial Support
· Work with the Finance Department on timely billing and financial documentation.
· Assist with maintaining fleet statistics and operational reports.
· Calculate and distribute end-of-year employee incentives.
· Respond to requests from executive leadership and management.
Additional Duties
· Attend staff, operational, and executive meetings.
· Assist with charter pricing quotes when needed.
· Support administrative paperwork and operational documentation.
· Fill in as a driver when operationally necessary.
· Perform other duties as assigned.
3. Essential Skills (Minimum qualifications individual must possess when entering position) – i.e. skillsets, education, certifications, etc.
· High school diploma or GED required.
· Minimum 2–3 years of management or supervisory experience, preferably in transportation, logistics, or operations.
· Valid driver’s license with clean driving and criminal record.
· Current First Aid and CPR certification (or ability to obtain).
· Must pass Defensive Driving Course (DDC) annually.
· Must successfully complete Title 19 certification.
· Ability to work flexible hours, including nights and weekends when required.
· Strong computer proficiency including:
· Microsoft Word, Outlook and Excel (spreadsheets, formulas, charts)
· Minimum typing speed of 40 WPM.
· Ability to create reports, manage data, and perform administrative documentation.

4. Working Conditions/Job Environment

· Work may include early mornings, evenings, weekends, and occasional remote coordination.
