We are seeking a skilled Executive Assistant to join our team in the manufacturing industry located in Cincinnati, Ohio. This role offers a contract to permanent employment opportunity. As an Executive Assistant, your primary role will be to provide comprehensive administrative support to executive officers, manage confidential information, coordinate meetings, and handle various business-related tasks.
Responsibilities :
- Provide administrative support to executive officers, demonstrating discretion in handling confidential information and prioritizing calls and correspondence.
- Manage executive calendars, coordinating essential meetings, appointments, and travel plans.
- Communicate effectively with other departments on behalf of CEO and Officers.
- Assist in the preparation and editing of reports, communications, presentations, and other documents.
- Process expense reports as requested by Officers.
- Assist with facilities issues and service center mailroom needs.
- Maintain up-to-date files on patents and trademark renewals.
- Coordinate company-wide quarterly meetings, including arranging refreshments and presentations.
- Assist other department managers with organizing and setting up meetings.
- Handle the distribution of required Company mailings to employees for 401(K) Plan and Pension Plan and other required mailings.
- Proficiency in using Cisco Webex Meetings for smooth remote communication.
- Familiarity with Concur for travel and expense management.
- Demonstrated ability to use CRM for effective customer relationship management.
- Experience with Kronos Timekeeping System for efficient time and attendance tracking.
- Knowledge of About Time software for accurate project management.
- Proficient in Calendar Management for scheduling and organizing meetings and appointments.
- Strong Communication skills for clear and effective interaction with internal and external stakeholders.
- Experience in managing Conference Calls to facilitate seamless remote discussions.
- Ability to handle Correspondence professionally and promptly
