Conference Services Manager

The Conference Services Manager plays a vital role in planning and executing high-quality meetings, conferences, and events for a Waukesha, WI area organization. This position oversees all aspects of event logistics including registration and housing, vendor management, and guest experience, while serving as the primary point of contact for internal teams and external partners. The successful candidate will ensure seamless events from initial planning through post-event analysis while maintaining a commitment to excellence and client satisfaction.

Key Responsibilities:

• Coordinate all conference, meeting, and event logistics including registration, housing, and attendee management
• Select and negotiate with vendors for catering, audio/visual, transportation, and lodging
• Develop detailed project timelines, budgets, and resource plans for multiple concurrent events
• Manage event registration processes, maintain attendee lists, and ensure accuracy of information
• Oversee onsite operations including setup, signage, and troubleshooting as needed
• Serve as the main liaison between internal stakeholders, external partners, and event participants
• Evaluate feedback and performance metrics to continually improve conference processes
• Ensure compliance with safety, health, and accessibility standards at all event venues
• Prepare and present reports on event outcomes, expenditures, and recommendations

Qualifications:

• Bachelor’s degree in hospitality management, business administration, or related field preferred
• 3 years proven experience in conference, meeting, or event planning/management
• Proficiency in event management software and Microsoft Office Suite
• Exceptional organizational, communication, and interpersonal skills
• Strong negotiation and vendor management abilities
• Ability to multitask and manage multiple events under strict deadlines
• Solutions-oriented problem-solving skills and attention to detail
