Description

We are offering a contract to permanent employment opportunity for an Administrative Specialist II in Juno Beach, Florida. This role operates within a detail-oriented environment and involves providing general administrative support to a team or department.

Responsibilities Include

  • Coordinating pre-employment checks to ensure all candidates meet the necessary requirements
  • Handling documentation with precision and efficiency
  • Managing and scheduling orientations for new hires
  • Supervising the candidate experience from offer acceptance to their first day
  • Facilitating communication between candidates, recruiters, and stakeholders
  • Ensuring all logistical details are arranged prior to the candidate's first day
  • Contributing to the smooth and seamless onboarding process for new hires
  • Utilizing communication skills to effectively interact with various stakeholders and suppliers
  • Employing independent judgment in analytical tasks
  • Adhering to and implementing necessary procedures and validation plans
  • Overseeing the contingent workforce and ensuring their integration into the business unit
  • Managing the onsite presence and activities of new hires
  • Handling the expense account and commission functions in a responsible manner
  • Ensuring proper implementation of cyber security measures and Nerc/NIS regulations.


Requirements

  • Exceptional communication skills, both written and verbal, to effectively interact with all levels of staff and stakeholders.
  • Proven experience in documentation procedures, ensuring all files are kept up-to-date and in order.
  • Ability to handle scheduling tasks, including meetings, appointments, and deadlines.
  • Experience in supervising a team, promoting productivity, and maintaining a positive work environment.
  • Knowledge of check processing and ability to manage financial transactions accurately.
  • Familiarity with the onboarding process, including orientation and pre-employment procedures.
  • Proven experience in recruiting and staffing, ensuring the right talent is placed in the right role.
  • Ability to effectively communicate with a range of stakeholders, understanding their needs and expectations.
  • Experience in managing suppliers and maintaining positive relationships.
  • Knowledge of commission functions and ability to execute them effectively.
  • Ability to work onsite as required and manage an expense account responsibly.
  • Proven ability to work with different business units to achieve organizational goals.
  • Experience in conducting orientations and validation plans for new employees.
  • Knowledge of cybersecurity protocols (NIS, Nerc) and ability to implement them within the organization.
  • Ability to make independent judgments and decisions, even in high-pressure situations.
  • Experience managing a contract workforce, ensuring all contract workers are effectively utilized.
