Duties
- Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette
- Operate multi-line phone systems to handle incoming calls promptly and efficiently, transferring or taking messages as needed
- Maintain organized filing systems, both physical and digital, including data entry and document proofreading for accuracy
- Schedule appointments, manage calendars, and coordinate meetings using Google Workspace and Microsoft Office tools
- Assist with bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and basic financial record keeping
- Provide excellent customer support by addressing inquiries, offering information, and ensuring a positive experience for clients and visitors
- Support office management activities such as supply ordering, document preparation, and general clerical tasks to keep the office running smoothly
Skills
- Proven experience in office administration or clerical roles with strong organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Familiarity with QuickBooks for bookkeeping and financial management tasks
- Excellent typing speed combined with strong attention to detail for proofreading and data entry
- Bilingual abilities are a plus to effectively communicate with diverse clients and team members
- Knowledge of multi-line phone systems, phone etiquette, and customer service best practices
- Ability to manage time effectively in a fast-paced environment while prioritizing tasks efficiently
- Experience in medical or dental receptionist roles is advantageous but not required; personal assistant experience is also valued
- Strong computer literacy with the ability to adapt quickly to new software or office technology
