The Robert C. Byrd Clinic, on the campus of the West Virginia School of Osteopathic Medicine, is seeking a full-time Facilities and Safety Manager.
Position Summary:
The Facilities and Safety Manager is responsible for ensuring the safety, functionality, and cleanliness of all facilities while leading the organization’s emergency management program. This role develops, implements, and oversees emergency preparedness plans, maintains compliance with safety regulations, and manages vendor relationships that support the clinic’s physical environment. The Facilities and Safety Manager works closely with leadership and staff to create a secure, well-maintained, and efficient setting that supports patient care and organizational objectives.
Requirements:
- Bachelor’s degree in business administration, facilities management, emergency management, or a related field (preferred).
- At least three years of experience in facilities management, emergency preparedness, operations, or a related role.
- Demonstrated experience leading emergency response programs and ensuring compliance with regulatory requirements.
- Experience coordinating vendors, facility contracts, and support services.
- Strong knowledge of emergency preparedness, crisis management, and safety regulations.
- Proven ability to develop and implement safety protocols and conduct training.
- Experience managing vendor contracts and facility services.
- Strong organizational and problem-solving skills with attention to detail.
- Excellent written and verbal communication skills, with the ability to train and guide staff during emergency situations.
- Ability to handle confidential information with discretion and professionalism.
Job Responsibilities:
- Lead the clinic’s emergency management program, including disaster preparedness, emergency response, and crisis management planning.
- Ensure compliance with local, state, and federal regulations for emergency preparedness; collaborate with local agencies on community drills, inspections, and safety protocols.
- Conduct risk assessments and develop after-action reviews following incidents or drills.
- Develop and deliver staff training on emergency procedures; act as the lead during emergency response situations.
- Monitor and maintain facility safety, cleanliness, and functionality to support patient care and operations.
- Oversee the production and maintenance of all clinic directional and safety signage.
- Manage vendor relationships, including cleaning services and other facility-related contractors, to ensure quality and cost-effective service.
- Support space planning, office/clinical layout adjustments, office moves, and minor renovation projects.
- Ensure compliance with OSHA, CMS, and other applicable safety and facility regulations.
- Maintain required documentation for inspections, certifications, and audits.
- Conduct regular safety rounds and risk assessments to identify hazards and implement corrective actions.
- Perform and document biomedical equipment inspections in accordance with regulatory standards.
- Lead the clinic’s Safety Committee.
- Develop and update facility-related policies and procedures in alignment with healthcare regulations, including the clinic’s emergency operations plan.
- Support regulatory survey readiness by ensuring facilities and safety programs meet standards.
- Perform other duties as assigned
