- Job Summary The Receptionist is the first point of contact our clients have with the firm, and will handle all incoming calls and online inquiries, gather information from prospective clients, determine if the the firm can serve the client's needs and will schedule all client meetings.
Responsibilities:
- Answer all incoming calls, emails and web inquiries
- Gather important information from prospective clients regarding their legal needs
- Set new client appointments
- Greet clients in the office and coodinate video calls
- Track client records, appointments and interactions in CRM program
- Provide excellent client service
- General administrative tasks, including scanning documents and ordering supplies
Experience and Qualities of Candidate Needed
- Professional appearance and demeanor
- Good phone skills
- Excellent communication and interpersonal skills with the ability to effectively and clearly interact with clients and other office personnel
- Ability to learn our specific CRM program
- Ability to demonstrate empathy and understanding toward clients who may be experiencing challenging situations
- Strong organizational skills and ability to perform tasks efficiently
- Pays careful attention to detail
- Ability to multitask and maintain work quality while under pressure
- Strong problem solving skills
- Proficiency in Outlook, Word, PowerPoint, Teams and Excel
- Excellent grammer and writing skills
- Ability to write a business letter, use proper punctuation and maintain standard norms for professional written communications
