About the Role:

The Administrative Assistant plays a crucial role in ensuring the smooth operation of the business and department assigned by providing comprehensive administrative support to the team. This position is responsible for administrative tasks as relevant to the department assigned but may include managing schedules, coordinating meetings, handling travel arrangements, maintaining records, managing office supplies, contributing to an organized and effective work environment. By effectively communicating with team members and external contacts, the Administrative Assistant helps facilitate collaboration and information flow. Ultimately, this role is vital in supporting the overall goals of the organization and enhancing the team's ability to achieve its objectives.

Minimum Qualifications:

  • High school diploma or equivalent.
  • Proven experience as an administrative assistant or in a similar role.

Preferred Qualifications:

  • Associate's degree in business administration or a related field.
  • Experience with office management software and tools.

Responsibilities:

  • This role handles administrative tasks, some of the below may or may not apply depending on department assignment and needs. 
  • Sort, distribute and handle all incoming and outgoing mail, seeking direction as needed.
  • Coordinate travel arrangements, including booking flights, accommodations, and transportation for staff as needed.
  • Answer and direct multi-line phone calls, providing excellent customer service and relaying messages accurately.
  • Organize and arrange meetings, including preparing agendas, taking minutes, and following up on action items.
  • Maintain accurate records and filing systems, ensuring that all documents are easily accessible and up-to-date.
  • Other administrative tasks as assigned.

Proficiency in maintaining calendars allows the Administrative Assistant to prioritize tasks and manage time effectively, which is essential for meeting deadlines.
