We are currently looking for an Administrative Support to assist in day-to-day office operations and to support our ongoing administrative firm needs. Qualifications:
- High school diploma, (GED) or equivalent combination of relevant education, training and experience.
- A minimum of 2 years’ experience in Administrative Support duties is strongly preferred.
- Proficient and advanced skills with Microsoft Office Suite365 software, and virtual meeting platforms such as Zoom. Willingness to learn and implement new technologies as needed.
- Excellent verbal and written communication skills.
- Advanced organizational skills with high attention to detail and excellent customer service.
- Must be self-directed with the ability to work independently and prioritize multiple tasks.
- Ability to consistently meet deadlines and work under pressure with shifting priorities.
- Proficient skills and ability to work with a diverse work group and individuals at all staff levels; ability to maintain diplomatic and respectful interactions.
- Must be able to work in a team environment; demonstrate a strong work ethic and collaborative approach with respect to duties and assigned tasks.
- Must maintain confidentiality and use discretion when dealing with sensitive issues and information.
- This is a 40-hour per week, in-office, non-exempt position.
Essential Duties & Responsibilities:
- Greet and assist clients, guests, and employees with a professional and welcoming presence at the front desk
- Manage incoming calls by answering, screening, and routing them to the appropriate staff members
- Coordinate meetings and office events by scheduling calendars, reserving conference rooms, sending invitations, arranging catering, and assisting with setup and cleanup
- Process and distribute incoming and outgoing mail, packages, and deliveries
- Perform data entry and maintain accurate administrative records and databases. Experience with Deltek Vantagepoint is a plus!
- Monitor and replenish office supplies and weekly kitchen/snack inventory
- Maintain organization and cleanliness of the office kitchen and shared spaces
- Coordinate office equipment maintenance, including scheduling service calls, ordering supplies, and basic troubleshooting
- Oversee company vehicles including reservation schedules, maintenance and service appointments.
- Prepare, proofread, and finalize correspondence, reports, memos, and other administrative documents
- Provide administrative support to office leadership and project teams as needed
- Assist with additional administrative tasks as assigned or requested by the Office Manager, Admin Leaders, and other HR/Accounting related tasks.
Physical Demands
- This role requires prolonged sitting with frequent standing, bending, and lifting. Must be able to periodically use step ladder, bend, reach and lift or move objects up to 25lbs.

Pay: From $24.00/hour

Location: Downtown San Diego, CA
Job Type: Full-Time. Monday – Thursday 7:30am-5:30pm, Friday 7:30am-11:30am; 40 hours minimum per week
