Office Assistant / Processor
Our growing title company serving NJ & PA is seeking an Office Assistant/Processor to support our team with order entry, e-recordings, post-closing tasks, and overall transaction coordination. This role is ideal for someone who is detail-oriented, organized, and comfortable working in a busy real estate/title environment.
Job Summary
The Office Assistant/Processor ensures all real estate transactions are accurately handled from order entry through post-closing. Responsibilities include entering new title orders, managing documentation, reviewing signed closing packages, facilitating the recording of documents, and assisting with the preparation and completion of files. This position requires strong communication skills and the ability to multitask across multiple transactions.
Key Responsibilities
- Enter new title orders and maintain accurate file information
- Handle e-recordings and submit documents to county offices
- Review signed closing documents for accuracy and completeness
- Verify that all required signatures, notarizations, and legal requirements are met
- Ensure proper recording of deeds, mortgages, liens, and other legal documents
- Coordinate with lenders, attorneys, and realtors to resolve discrepancies or obtain missing items
- Track and follow up on outstanding post-closing materials (recorded documents, final title policies, payoffs, etc.)
- Maintain organized electronic and physical files for all transactions
- Assist internal teams to resolve issues and move files forward efficiently
- Stay current with state and federal regulations relating to title insurance and real estate documentation
Qualifications
- High school diploma or equivalent
- 1 year of experience in title insurance, mortgage processing, or real estate closings preferred
- Experience with AccuTitle/AccuAir is a plus
- Strong attention to detail and ability to manage multiple files simultaneously
- Excellent organizational and time-management skills
- Familiarity with real estate documents (HUD-1/Settlement Statements, deeds, mortgages, etc.)
- Ability to work independently and as part of a team in a fast-paced environment
