Assistant Facility Manager – Internal Job Description and Acknowledgement
Purpose
The Assistant Facility Manager supports the Facility Manager in ensuring the safe, efficient, and compliant operation of the facility. This role assists in coordinating daily operations, supervising team members, maintaining facility standards, and supporting Return Management Services (RMS) activities. The Assistant Facility Manager serves as a leadership resource for scanners, prep teams, maintenance personnel, and office staff while helping drive productivity, safety, quality, and continuous improvement.
Scope of Responsibilities
Opening and Start-Up
- Assist in ensuring the facility is open, staffed, and operational for scheduled start times.
- Support clock-in and scanning readiness by 6:00 AM (or as close as possible).
- Monitor opening procedures and report or resolve operational issues to minimize delays.
- Serve as acting facility lead when the Facility Manager is unavailable.
RMS and Returns Management
- Support RMS operations, including returns, damages, recalls, product withdrawals, hazmat processing, and warehouse damage claims.
- Ensure proper documentation, labeling, segregation, and disposition of products in accordance with company and customer requirements.
- Maintain accurate records and assist with audits, reporting, and investigations.
- Coordinate with quality, safety, logistics, and facility leadership to ensure timely processing and resolution.
Workplace Cleanliness and Hygiene
- Assist in maintaining clean, organized, and professional office and warehouse environments.
- Conduct routine inspections of work areas to ensure housekeeping standards are met.
- Monitor sanitation schedules and coordinate corrective actions as needed.
- Support pest control programs and vendor service activities.
- Ensure food safety documentation, training records, and binders remain complete, current, and accessible.
Training and Development
- Assist with onboarding and training new scanners and prep team members.
- Provide coaching, guidance, and performance feedback to employees.
- Reinforce safety, quality, and productivity expectations.
- Promote a culture of accountability, teamwork, and continuous improvement.
Performance Management
- Monitor daily production performance, including CPU (Cost Per Unit) and UPH (Units Per Hour) metrics.
- Help identify performance gaps and implement corrective actions.
- Motivate team members to achieve operational goals and productivity standards.
- Lead by example through active participation in operational tasks when needed.
Incentive Program Administration
- Assist in administering and enforcing incentive program guidelines.
- Communicate performance expectations and eligibility requirements.
- Support tracking and reporting of incentive performance metrics.
- Recognize employee achievements and encourage participation.
Leadership and Communication
- Maintain a positive and professional presence throughout the facility.
- Support effective communication between employees, supervisors, and management.
- Assist with shift meetings, safety talks, and operational updates.
- Provide feedback and recommendations to the Facility Manager regarding staffing, performance, and process improvements.
Compliance and Safety
- Ensure adherence to company safety policies, food safety programs, and quality standards.

- Support toolbox talks, safety meetings, and employee training initiatives.
- Maintain required certifications and training documentation.
Logistics and Resource Management
- Assist with planning daily workloads and staffing requirements.
- Monitor equipment, tools, supplies, and PPE inventory levels.
- Report equipment issues and coordinate maintenance requests when necessary.
- Support workflow management to maximize efficiency and throughput.
Collaboration and Reporting
- Work closely with the Facility Manager and leadership team to achieve operational objectives.
- Escalate concerns, risks, and operational issues promptly.
- Support cross-functional collaboration between departments.
- Assist with preparing operational, safety, quality, and performance reports.
Required Qualifications
- Previous supervisory, lead, or team leadership experience in manufacturing, warehousing, logistics, food processing, or a related environment.
- Ability to train, mentor, and coach employees effectively.
- Strong organizational and time-management skills.
- Ability to monitor and support production metrics, including CPU and UPH.
- Knowledge of workplace safety, sanitation, and food safety standards.
- Basic understanding of RMS, returns processing, recalls, or inventory control processes.
- Strong communication and interpersonal skills.
- Ability to prioritize tasks and work effectively in a fast-paced environment.
- Proactive problem-solving skills and attention to detail.
Preferred Qualifications
- Experience supporting RMS operations, logistics coordination, or returns/recalls management for major retailers such as Publix.
- Experience with employee incentive or recognition programs.
- Familiarity with ERP, WMS, or production tracking systems.
- Experience conducting root-cause analysis and implementing corrective actions.
- Forklift certification or warehouse equipment experience (where applicable).
- Bi-Lingual a plus
Working Conditions
- Early morning start times based on operational requirements.
- Responsibilities split between office, warehouse, and production floor environments.
- Regular walking throughout the facility.
- Occasional lifting, carrying, and movement of materials.
- Standing for extended periods as needed.
