As an Office Associate, you will be responsible for processing tax returns, communicating with clients, and providing administrative support to all members of the office. This role is expected to collaborate and communicate effectively within a team framework with all staff. Success in this role demands attention to detail, flexibility in day-to-day duties, and the ability to maintain a calm demeanor in a fast-paced environment.
Responsibilities:
Input and update client information using PracticeCS database software
Prepare and mail, email or fax client documents with appropriate documentation
Monitor multiple electronic inboxes for incoming client files and requests
Receive incoming client calls and direct them as appropriate
Process client payments over the phone or in person
Ensure tax returns are printed correctly and delivered with all components, including clear instructions for the mailing of tax returns and payment of amounts due
Maintain office appearance, including tracking inventory and ordering supplies
Assist with other administrative tasks as directed
Knowledge, Skills & Abilities:
Knowledge of:
Basic tax & accounting terminology
Principles of records and database management
Principles of customer service & professionalism
Confidentiality & ethics practices as defined by federal regulations
Standard office or practice management software including Microsoft Office (Word, Excel, Outlook)
Skills in:
Clerical duties, including data entry, document scanning, mail and email
Effectively communicating, collaborating and sharing tasks within a team
Working within strict deadlines to complete projects and assignments
Assessing, analyzing, identifying, and recommending solutions to problems
Independently managing workload while remaining flexible with urgent and emergent tasks
Operating a computer and utilizing a variety of software
Ability to:
Maintain a calm demeanor while multitasking and attending clients
Prioritize, multi-task and problem solve independently
Show professionalism in speech, dress and demeanor
Receive and assimilate feedback to improve office procedures
Minimum Qualifications:
A high school diploma or GED and one (1) year of relevant administrative, accounting, document processing or other closely related experience, or its equivalent
Associates degree or other higher education preferred
Individuals with prior experience in a professional service field, i.e. legal, medical, accounting, or other, are encouraged to apply
Additional Requirements:
Must be available for work M F 8:00 AM to 5:00 PM during most of the year
Must be able to obtain and must maintain certification as a notary for the State of Wyoming within six (6) months of employment
Must be able to type 55 words per minute
May be required to move and/or transport heavy, bulky supplies, materials and/or other items weighing up to 40 pounds
Must be able to work outside the traditional work schedule, including some evenings and weekends, during tax season (February April) or when otherwise required
