Role Overview
The Executive Personal Assistant will provide high-level, one-on-one support to Eric Mager. This is a dual-faceted role requiring a blend of corporate administrative excellence and private lifestyle management. The ideal candidate is a proactive problem-solver with a "no task too big or small" attitude, capable of maintaining total confidentiality. The Principal is high-energy, and experience is required in navigating a fast-paced environment.
Travel Requirements
This role involves occasional travel, which may include accompanying the Principal or remaining at the home base to ensure smooth operations. Travel could range from short domestic trips to extended international assignments, requiring flexibility and adaptability.
Key Responsibilities
1. Executive Support & Gatekeeping
- Calendar Management: Manage and coordinate complex calendars using Microsoft Outlook Calendar and other tools, scheduling meetings, appointments, and travel arrangements with precision.
- Communication: Acting as the primary point of contact; screening emails, taking calls, and drafting correspondence on behalf of the Principal.
- Support personal errands and tasks for executives as needed while maintaining confidentiality and discretion at all times.
- Provide comprehensive executive administrative support: Including drafting correspondence, proofreading documents, and transcribing meetings to ensure clarity and professionalism.
- Project Management: Facilitate project coordination by tracking deadlines, preparing reports, and ensuring the timely completion of tasks aligned with organizational goals.
- Phones: Handle phone etiquette with professionalism across multiple phone system platforms, screening calls, taking messages, and directing inquiries appropriately.
- Office Management: Maintain meticulous office practices by overseeing filing systems, data entry, bookkeeping, and office supply inventory.
- Events: Plan and organize events, conferences, and meetings from start to finish, handling logistics including venue booking, catering coordination, and attendee communication.
- Travel Coordination: Booking seamless domestic and international travel, including private aviation, ground transport, visas, and detailed itineraries.
2. Lifestyle & Household Management
- Personal Logistics: Managing medical appointments, social engagements, and family schedules.
- Vendor Management: Overseeing household staff, contractors, and service providers (landscaping, security, interior design).
- Procurement: Handling personal shopping, gift sourcing, and errand running.
3. Special Projects & Research
- Planning and executing high-profile events, dinners, and retreats.
- Conducting deep-dive research on travel, investments, philanthropic ventures, recruiting candidates, etc.
- Preparing briefing materials and presentations for board meetings or public appearances.
Candidate Profile: Skills & Qualifications
- Experience: Experience supporting C-suite executives, High-Net-Worth Individuals, or as an executive personal assistant or in a similar administrative role supporting senior executives.
- Discretion: An unwavering commitment to privacy and the ability to handle sensitive information with total confidentiality. Must be willing to sign NDA, Non-Solicit, and other confidentiality and privacy agreements.
- Tech Savviness: Mastery of Microsoft Office Suite (Word, Excel, PowerPoint)
- Adaptability: Ability to remain calm under pressure and pivot quickly when priorities shift.
- Availability: Must be willing to be "on-call" during evenings or weekends as needed for urgent matters.
Compensation & Benefits
- Salary Range: $65,000 – $85,000 (Commensurate with experience).
- Bonus: Discretionary.
