JOB DESCRIPTION – LEASING AGENT
Job Summary:
Riverwalk Real Estate is seeking a professional, organized, and customer-focused Leasing Agent to support the daily leasing and property management operations of our rental portfolio. This position is responsible for marketing available rental units, responding to prospective tenants, showing properties, processing applications, assisting with lease documentation, coordinating move-ins and move-outs, and helping maintain strong relationships with current tenants, vendors, contractors, and property owners.
The ideal candidate will be dependable, detail-oriented, comfortable working with people, and able to manage multiple tasks in a fast-paced property management environment. This position requires strong communication skills, professionalism, confidentiality, and a willingness to assist with occasional evening or weekend showings as needed.
Primary Responsibilities as Leasing Agent:
Leasing & Marketing
- Respond promptly and professionally to rental inquiries from prospective tenants.
- Schedule and conduct property showings for available rental units.
- Follow up with prospective tenants after showings and assist them through the application process.
- Maintain accurate availability information for rental units.
- Help ensure vacant units are clean, presentable, and ready to show.
- Represent the company professionally in the community and with prospective tenants, current tenants, vendors, neighbors, and service providers.
Applications, Leasing & Tenant Onboarding
- Receive, organize, and assist with processing rental applications and supporting documents.
- Enter and maintain tenant, prospect, lease, and property information in AppFolio and other company systems.
- Assist with preparing, sending, tracking, and filing lease agreements, lease renewals, addenda, notices, and related leasing documents.
- Coordinate and track move-in requirements, including deposits, rent payments, utility setup, tenant insurance, pet documentation, parking addenda, and other required items.
- Organize and provide tenant welcome materials, including the Tenant Welcome Packet and Tenant Handbook.
- Assist with move-in appointments and confirm that all required items are completed before keys, remotes, parking stickers, or other access items are released.
Maintenance Coordination:
- Receive, document, and track tenant maintenance requests in AppFolio or other company-approved systems.
- Communicate with tenants regarding maintenance requests, scheduling, access instructions, and follow-up.
- Coordinate with maintenance personnel, contractors, vendors, and management to help ensure timely completion of work orders.
- Monitor open work orders and follow up until the issue has been resolved or properly escalated.
- Assist in prioritizing maintenance requests based on urgency, safety, habitability, and company procedures.
- Report emergency maintenance issues to management immediately.
- Help coordinate routine maintenance, preventative maintenance, inspections, and vendor access as needed.
- Document maintenance notes, photos, vendor updates, completion status, and tenant communication in the appropriate system.
- Assist with move-in, move-out, and periodic property inspections by noting visible maintenance, safety, or cleanliness concerns.
- Help confirm that vacant units are ready for leasing, including cleaning, repairs, keys, access devices, utilities, and general property condition.
- Maintain professional communication with vendors and contractors while ensuring company expectations, timelines, and quality standards are followed.
Tenant Relations & Property Management Support
- Maintain positive and professional relationships with current tenants.
- Respond to tenant questions, concerns, and service requests in a timely and courteous manner.
- Document tenant communications, work orders, maintenance requests, and follow-up items in AppFolio and other company systems.
- Coordinate with maintenance personnel, contractors, vendors, and management to help resolve tenant and property issues.
- Assist with lease renewals, notices, inspections, move-out procedures, and general tenant compliance.
- Support the company’s rental policies, procedures, and property management standards.
Administrative & Office Support
- Maintain organized electronic files for leases, tenant records, property records, work orders, applications, and related documents.
- Assist with office procedures that support the efficiency and organization of the rental portfolio.
- Help maintain accurate records in AppFolio, Microsoft Office, Excel, Outlook, and other company systems.
- Assist with owner updates, rental program reporting, marketing updates, and maintenance communication as needed.
- Maintain confidentiality of tenant, owner, company, and financial information.
- Perform other property management and leasing-related duties as assigned by management.

- Willingness to learn and follow company policies, Fair Housing guidelines, leasing procedures, and property management standards.
Qualifications:
- High school diploma or equivalent required.
- Bachelor’s degree preferred but not required.
- Prior leasing, property management, real estate, customer service, hospitality, or administrative experience preferred.
- Two or more years of leasing or property management experience is preferred.
- Experience with AppFolio or similar property management software preferred.
- Proficiency with Microsoft Office, especially Outlook, Word, and Excel.
- Strong moral character, integrity, dependability, and professionalism are required.
- Valid driver’s license and reliable transportation may be required for property showings and site visits.
Physical Requirements:
The physical requirements listed below are representative of those needed to successfully perform the essential functions of this position.
- Ability to visit rental properties, including walking through units, climbing stairs, and navigating uneven surfaces or common obstacles.
- Ability to stand, walk, bend, reach, stoop, kneel, and climb stairs as needed during property showings and inspections.
- Ability to operate a computer, phone, keyboard, mouse, camera, printer, scanner, and other standard office equipment.
- Ability to occasionally lift or carry items up to approximately 30 pounds.
- Ability to conduct property showings and site visits during normal business hours and, when necessary, during occasional evenings or weekends.
Work Schedule:
This is a full-time position. Standard business hours apply; however, occasional evening or weekend work may be required to accommodate property showings, move-ins, move-outs, tenant needs, or leasing deadlines.
