The Compliance Specialist administers assigned compliance programs and processes related to Title IX, Title VI, Title VII, Section 504, IDEA, ADA, FOIA, and related laws, regulations, policies, and procedures. The position manages complaint intake and case tracking, coordinates investigative and records-related activities, administers the division’s FOIA request process, and supports responses to regulatory inquiries, audits, and compliance matters.

 

The Compliance Specialist reviews and evaluates information, maintains case management systems, monitors deadlines and required actions, prepares correspondence and reports, and analyzes compliance data to identify trends and opportunities for process improvement. The position serves as a resource and liaison to schools and departments regarding established compliance processes and requirements and exercises independent judgment in managing assigned responsibilities while referring complex or sensitive matters for appropriate administrative or legal review.

 

This position requires a high degree of confidentiality, organization, attention to detail, and sound judgment in the handling of sensitive student, employee, investigative, and legal information.

 

Essential Job Functions:

  • Administers assigned compliance programs and processes related to Title IX, Title VI, Title VII, Section 504, IDEA, ADA, FOIA, and related laws, regulations, policies, and procedures.
  • Reviews, evaluates, and manages complaints and compliance-related concerns involving discrimination, harassment, retaliation, bullying, and accessibility issues, determining appropriate intake, routing, follow-up, and escalation based on the nature of each matter.
  • Establishes and maintains case management systems and procedures to ensure accurate tracking of complaints, investigations, deadlines, required actions, and resolution status.
  • Manages the intake process by evaluating initial information and supporting documentation, identifying additional information needed, and determining appropriate next steps within established procedures.
  • Coordinates and supports assigned investigative activities by organizing interviews, reviewing relevant materials, maintaining evidence and documentation, and ensuring investigative processes are appropriately documented and timely.
  • Develops correspondence, summaries, timelines, case documentation, and other materials related to compliance matters, exercising judgment regarding the information necessary to support appropriate administrative review and action.
  • Oversees compliance tracking systems and processes, evaluating information for accuracy and completeness and taking appropriate action to address deficiencies or delays.
  • Coordinates and manages the preparation of materials and records in response to internal requests, audits, regulatory inquiries, and Office for Civil Rights (OCR) submissions, determining appropriate documentation and information needed for each response.
  • Administers the division’s Freedom of Information Act (FOIA) request process by evaluating requests, coordinating the identification and collection of responsive records, monitoring statutory deadlines, and preparing draft responses and recommendations for review as appropriate.
  • Monitors and evaluates deadlines associated with complaints, investigations, and required responses, determining appropriate follow-up and coordinating with responsible staff to ensure timely completion of required actions.

Education and Experience: 

 

Required

  • Bachelor's degree or coursework in paralegal studies, legal assisting, criminal justice, public administration, business administration, or related field 
  • Three (3) years of experience in an administrative support, legal assistant, paralegal, records management, compliance support, human resources, or similar office environment 
  • Experience working with confidential records, case files, or regulated documentation processes.

 

Preferred

  • Experience in a school division, government agency, law office, or other compliance-driven environment.
