Job Summary
We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! This role combines front desk responsibilities with administrative support to the property managers, ensuring smooth daily operations and exceptional customer service. The ideal candidate will be energetic, detail-oriented, and possess excellent communication skills, ready to handle multiple tasks efficiently. You will serve as the first point of contact for visitors and callers, manage office functions, and support various administrative duties to keep the workplace running seamlessly.
Responsibilities
- Greet visitors warmly, manage front desk operations, and direct guests appropriately
- Operate multi-line phone systems with professionalism, optimism, and excellent customer interaction.
- Receive and log all incoming rental payments, and provide receipts to customers.
- Handle incoming calls, and inquiries.
- Perform data entry, maintain filing systems, and ensure accurate record keeping
- Support office management tasks such as ordering supplies, organizing documents, and proofreading correspondence
- Provide exceptional customer service by responding promptly to inquiries and supporting client needs
- Maintain a clean and organized reception area to promote a welcoming environment
- Support clerical duties including photocopying, faxing, mailing, and document preparation
Requirements
- Proven office experience with strong organizational skills and attention to detail
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Familiarity with multi-line phone systems and phone etiquette standards
- Excellent verbal and written communication skills; bilingual ability is a plus
- Experience with data entry, filing systems, proofreading, and general clerical tasks
- Knowledge of office management procedures including calendar management and time management techniques
- Prior experience in customer service or support roles preferred
- Ability to handle confidential information discreetly and professionally
- Demonstrated ability to prioritize tasks efficiently in a fast-paced environment
