JOB TITLE: Housing Clerical Assistant

WORKING HOURS:
This is an hourly position. The incumbent is expected to work regular business hours (8 am to 4 pm M-F) but must be flexible and available to work early mornings, evenings, or weekends occasionally.
SUMMARY:
The Housing Clerical Assistant will support the daily operations of Housing Department. We are seeking a detail-organized Clerical Assistant to provide administrative and clerical support to ensure the smooth operation of our office. The ideal candidate will be dependable, efficient, and able to handle a variety of tasks.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
1. Perform general clerical duties including photocopying, scanning, faxing, and filing.
2. Answer direct phone calls, take messages, and greet visitors
3. Assist tribal members in the application and re-certification process of various housing assistance programs.
4. Assist with date entry, record keeping, and document preparation.
5. Provide support to staff and management with scheduling, correspondence, and reports.
6. Meets with the Housing Administrator for discussions and clarification on various issues as necessary.
7. Attend all required meetings and training sessions.
8. Performs other duties as assigned.
SUPERVISORY RESPONSIBILITIES:
No supervisory responsibilities for this position.
QUALIFICATIONS:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and ability required.
1. High School diploma or equivalent (associate degree a plus)
2. Previous clerical or administrative experience preferred
3. Proficiency in MS Office applications (MS Outlook, MS Word, MS Excel) MS Excel experience should include sorting & filtering data and using shortcuts & formula functions.
4. Must be able to work independently and productively with minimal supervision.
5. Must be able to get along with co-workers and work as a team.
6. Must always present a professional appearance.
7. Must be able to maintain a high degree of confidentiality concerning all matters of the Tribe.

EDUCATION:
1. High School Diploma or equivalent GED required.
2. An AA or AS degree in Business or a related field is preferred.

3. Ability to write accurate, grammatically correct, polished reports and business correspondence.

1. Must have basic math skills (ability to add, subtract, multiply, and divide).

LICENSES, CERTIFICATES, REGISTRATIONS:
1. Must possess a valid state Driver’s License with a clean driving record and be insurable under the Tribe’s insurance policy.
PHYSICAL DEMANDS:
1. Must be able to sit or stand for extended periods.
2. Must be able to lift and carry up to twenty-five (25) pounds.
3. Must be able to respond to visual and aural cues.
