Job Description: Business Office Manager/Human Manager
Job Title: Business Office Manager (BOM) and Human Resources Director (HR)
Department: Administration
Reports To: Nursing Home Administrator; Regional Business Office Manager
Position Purpose
The primary purpose of the business office manager job position is to coordinate the financial services of the residents in the facility in accordance with federal, state and local standards, guidelines and regulations.
The primary purpose of the human resources job position is to coordinate and direct employment services for all employees of the facility.
Job Requirements
1. Two years of work experience in an accounts receivable or insurance billing position is preferred, with some of that experience in a long-term care facility;
2. Must have a high school diploma or equivalent;
3. Must provide all necessary documentation in accordance with the company’s new hire process to evidence eligibility for employment, including passing a criminal background check;
4. Must complete new hire orientation as required by company policy and participate in continuing education such as in-services, training, etc.;
5. Must possess excellent organizational, time management and problem solving skills;
7. Must possess the ability to communicate in English, both orally and in writing;
8. Must be proficient in the use of technology, including and especially the use of computers;
9. Must be willing to follow all federal, state and local laws and regulations as well as company policies and procedures and abide by the employee handbook, including but not limited to dress and grooming standards, time and attendance standards, drug and alcohol policy, respect and courtesy towards others, etc.;
10. Must have flexibility and availability to work outside of standard business hours, including weekends and holidays as required;
11. Must participate in and respond professionally to surveys and inspections conducted by government agencies;
12. Must be able to perform physical tasks associated with the standard work and essential functions of an office worker, including sitting for extended periods, lifting/carrying in excess of 30 pounds, or be able to be reasonably accommodated for any limitations;
13. Must be able to cope with the mental and emotional stress inherent to the position, including working daily with residents in the geriatric, mentally ill, dementia, and disabled populations and potentially disgruntled employees;
14. Must be able to perform assigned tasks with a minimum of supervision and oversight and develop awareness for and a willingness to perform other tasks, as needed, without constant supervision;
15. Must help foster and maintain an atmosphere of warmth, cheerfulness, enthusiasm and compassion, giving residents and employees the quality of service you would want to receive.
Summary of Principal Accountabilities for Business Office Manger
Manage resident trust accounts, including accounting of deposits/withdrawals, providing quarterly statements in accordance with regulatory requirements, closing accounts and issuing disbursement checks for residents who have discharged or passed away in accordance with regulatory requirements, etc.
Complete monthly collections, including monthly share of cost for Medicaid residents.
Adjust resident census lines as indicated based on qualifying events, such as admissions, discharges, payor changes, room changes, etc.
Review financial status for all potential admissions and provide a financial assessment to the administrator, including checking insurance benefits and submitting pre-authorization requests as indicated.
Complete bank deposits.
Assist with monthly electronic billing for Medicare, Medicaid and/or other insurances as directed by the regional business office manager.
Attend all meetings as required, including but not limited to daily stand-up/stand-down, weekly Comprehensive Skilled Services Review (CSSR) and monthly Quality Assurance Performance Improvement (QAPI) meetings.
Assist residents/resident representatives with application to financial programs for timely placement as needed.
Perform other related duties as may become necessary or as directed by supervisor(s).
Summary of Principal Accountabilities for Human Resources Director
Coordinate all aspects of the new employee onboarding process, including new-hire paperwork, background checks, license verification, insurance benefit review and orientation for newly hired employees.
Create access to Relias Learning and PointClickCare as indicated for all new employees and disable access to Relias Learning and PointClickCare for all terminated employees.
Track and update employee records periodically as indicated, including ensuring background checks are completed for all current employees in accordance with the requirements of DACS, OIG and any other applicable entities, ensuring licenses and certifications remain current, etc.
Process payroll on a bi-monthly basis
Assist with disciplinary actions for employees of the facility as requested or directed by supervisor(s).
Coordinate efforts to investigate and report employee complaints in the workplace, especially as they pertain to violations of labor laws, the employee handbook, etc.
Coordinate efforts to investigate and report employee injuries in the workplace with Worker’s Compensation.
Attend all meetings as required, including but not limited to daily stand-up/stand-down and monthly Quality Assurance Performance Improvement (QAPI) meetings.
Perform other related duties as may become necessary or as directed by supervisor(s).
Job Type: Full-time
Pay: $20.00 - $24.00 per hour
Expected hours: 35 – 45 per week
